Using Classic Outlook on Windows for personal email, calendar, and contact management
In Classic Outlook for Windows, seeing only the last few days of sent messages typically means either Outlook is only caching a short time range, or sent items aren’t being stored (or are being removed) from the Sent Items folder.
Try these checks and adjustments:
- Verify Outlook is configured to keep copies of sent mail
- In Outlook, go to File > Options > Mail.
- Scroll down to the Save messages section.
- Ensure Save copies of messages in Sent Items folder is selected.
- Choose OK.
If this option is off (or enforced by policy), older messages will never have been stored in Sent Items.
- Increase how much mail is cached offline
If the account uses Cached Exchange Mode or IMAP, Outlook may only be syncing a very short period (for example, the last few days) of sent mail to the local profile.
- Select File > Account Settings > Account Settings.
- Highlight the affected email account and select Change.
- Locate the Mail to keep offline slider.
- Move the slider to a longer period (such as several months, 1 year, or All if available).
- Select Next, then Finish, and restart Outlook.
After Outlook resynchronizes, older sent items that still exist on the server should begin to appear in Sent Items.
- Check if items were deleted or moved
If older sent messages are missing even after extending the offline cache:
- Open the Deleted Items or Trash folder in the folder list.
- Look for older sent messages that may have been deleted or moved there.
If they were permanently deleted or removed by a server-side retention policy, they will not reappear in Sent Items.
- Consider admin-controlled settings (if applicable)
In managed environments, an administrator can control the Save copies of messages in Sent Items folder option via Group Policy or registry keys. If sent items are still not being retained as expected, an admin should review the relevant policy and the SaveSent registry value under the Outlook version-specific paths to ensure saving sent items is enabled.
If, after these steps, only the last three days of sent mail exist on the server itself (for example, due to mailbox cleanup or retention), older messages cannot be restored from Outlook alone and would require recovery from backup or archive if available.
