Managing meetings and events using Outlook on the web for business

In Outlook on the web, you may only see a room’s busy times without details like who booked it, because permissions and privacy settings often limit visibility to Free/Busy status or hide information for private events.
Note: Since your post is tagged for the Outlook on the web, the instructions above reflect that version. If you are using New Outlook or Classic Outlook desktop app instead, feel free to tell me and I will provide the exact steps.
Here are some options you can follow:
Option 1: Check availability using Scheduling Assistant or Room Finder
Open Calendar in Outlook on the web > Select New event to create a meeting.
Add attendees and set the meeting time.
In the Location field, use Room Finder to select a room.
Switch to Scheduling Assistant to view availability of attendees and rooms.
This option helps you see when a room is available, but it may not show who booked it.
Option 2: Open the room calendar directly
Go to Calendar > Select Add calendar > Choose From directory > Search for the room name > Select the room and open it.
The room calendar will appear alongside your calendar. You can select any meeting to check its details.
- How to see who booked the room
To view the meeting organizer or details, your account must have sufficient permission on the room calendar.
If you only see “Busy” blocks, this means your access is limited to availability only.
To see details such as the organizer, subject, or location, you need at least permission like Can view titles and locations or Can view all details.
- If you cannot see booking details
If details are not visible, you can try the following:
Contact your IT administrator or the room owner and request higher access permission to the room calendar. In case you do not know who is your IT admin, kindly refer to this article: How do I find my Microsoft 365 admin? - Microsoft Support
Be aware that meetings marked as private may still hide details even with added permissions.
In some organizations, room mailboxes are configured to hide or remove meeting details automatically, which may prevent you from seeing the organizer information.
