Mail Archiving Issue

Dear Microsoft Team,

We are using Microsoft Business Outlook mail and I need your assistance regarding one issue.

Currently, my college mailbox storage is almost 80% full. I would like to move old emails to the Archive folder for the period from 01.01.2025 to 31.12.2025 (Inbox and Sent Items).

I already know the steps to manually move emails to the Archive folder. However, I need your guidance on how to correctly mention the time period in the Retention Policy settings.

For example:

  • Move emails older than 12 months

Similarly ,I would like to know how to configure or mention a specific date range such as 01.01.2025 to 31.12.2025.

Previously, one of my colleague’s mailboxes was configured with the policy “Move emails older than 12 months,” but it did not work properly. Therefore, this time I would like your help to correctly set the Retention Policy name Only .

Note: I would like to clarify again that I already know how to Automatically move emails to the Archive folder.

To clarify one point - the Archive folder is not the same thing as the Online Archive. If you move items to the former, either manually or via retention policy, this will not affect the mailbox quota in any way. Moving items to the Online archive on the other hand will free up space/reduce the used quota.

    Dear Microsoft Support Team,

    I accept your previous response. However, I need a proper automated solution for mailbox storage management.

    One of my colleague’s mailboxes has reached 80% capacity. To reduce mailbox usage, I want to create a retention/archive policy that will automatically move all emails from Inbox and Sent Items for the period from 01.01.2025 to 31.12.2025 into the Archive folder.

    I do not want to move emails manually, as this issue has occurred for the third time and manual migration is becoming a time-consuming task every time. Therefore, kindly suggest the proper retention/archive policy configuration and policy name that can automatically move old emails to the Archive mailbox.

    Your guidance will be very helpful for us in managing mailbox storage efficiently in the future.

    Please note that in Microsoft 365 / Outlook retention policies, it is not possible to define a fixed date range such as 01.01.2025–31.12.2025 directly in the retention settings. Retention tags are based on the age of items, not specific calendar dates. Instead, retention is configured as a time-based duration, for example:

    • 365 days = 12 months 
    • 730 days = 24 months 

    User's image In your configuration: 

    • Retention Period: 365 days 
    • Retention Action: Move items to archive 

    This means that any email older than 365 days will be automatically moved to the Online Archive mailbox.

    You can assign a custom name to the retention tag or policy, such as:

    -Move items older than 12 months  

    -Archive emails after 365 days  

    However, the name does not affect behavior; the actual processing is controlled by the configured retention period.

    Regarding the previous issue where “Move emails older than 12 months” did not work as expected, common causes include:

    -The archive mailbox is not enabled  

    -The retention policy is not assigned correctly  

    -The policy has not yet been processed
