    Hello Satheesan-hunt, Saritha

I understand you need help retrieving important emails that have passed a specific 6-month retention period.

Have you already tried Q&A Assist suggestions under your post? In addition, if this is a personal account and you are seeing a 6-month limit, please try the following:

1, Check the Online Archive Folder

    • In Outlook on the web, look at your folder list on the left side.
    • Scroll down and check if you see a folder named “Archive” or a separate “In-Place Archive - [Your Email]” mailbox.
    • Emails might have been moved there automatically instead of being deleted.

    2, Inspect Clean-up Rules (Sweep)

    • Click the “Settings” gear icon > “Mail” > “Sweep” (and check “Rules” as well).
    • Ensure there isn't an active rule configured to automatically delete or archive emails older than 180 days.

Messages deleted by retention or archive policies can only be recovered while they are still within the organization’s configured recovery period.

Key points based on retention behavior:

    1. Retention and archive policies
      • In Outlook on the web/Outlook Web App, retention policies may:
        • Permanently delete messages, or
        • Move them to Deleted Items, sometimes marked as Delete (Temporarily recoverable).
      • Archive policies may move messages to an archive mailbox instead of deleting them.
      • The policies and their durations (for example, 6 months, 1 year, etc.) are controlled by the organization’s administrator.
    2. Recovery window
      • When a message is removed by a retention or archive policy and is configured as temporarily recoverable, it is recoverable only for a limited time using Recover deleted items.
      • The default recoverable period is 30 days, but this can be changed by the administrator.
      • After the deleted item retention period expires, items are permanently deleted and can’t be recovered by users.
    3. What can be done now
      • If the messages were removed more than 6 months ago and are beyond both:
        • the mailbox’s deleted item retention period, and
        • any configured archive/retention recovery window, then they are permanently deleted and can’t be restored from Outlook or Outlook on the web.
      • If the messages were removed by policy but still within the recoverable period:
        1. Open Outlook on the web.
        2. Go to Deleted Items.
        3. Use Recover deleted items to restore them.
        4. Move the recovered items into a folder without a retention policy, or remove the policy from those items so they are not removed again.
    4. Admin-side options (for organizational accounts)
      • In Exchange-based environments, administrators may be able to recover items that users can’t see if:
        • The items are still within the deleted item retention period, and
        • Features such as single item recovery or holds are enabled.
      • Once the retention period has fully elapsed, even administrators can’t restore the items.

If the 6‑month period mentioned is the retention limit and the items are now beyond both that limit and any configured recovery period, those messages can no longer be retrieved.
