MS Forms and Access

Question

We have a number of forms / QR codes that have been set up by a member of staff who has since left the organisation, which has meant we get an error message when people are trying to access the form, these are included in our standard operating procedures. If we put a number of collaborators, who are still employed within an organisation, would the link be broke if the owner were to leave if others were still within the organisation or will we have to re-do all the forms / QR codes?

Thank you for explaining the situation.

It is possible to transfer ownership of a Microsoft Form, but the administrator must have sufficient administrative permissions and a valid Microsoft Forms license. If the form has not yet been transferred, your IT administrator may be able to reset the password for the former employee's account through the Microsoft 365 Admin Center. After signing in to that account, the administrator can access Microsoft Forms and share the form by adding collaborators or by sharing the edit link, allowing another user to manage, update, or duplicate the form as needed.

In addition, Microsoft provides a form ownership transfer process for forms associated with accounts that have been deleted within the last 30 days. You can find more information here: Admin information - Microsoft Forms Admin

If those options do not resolve the issue, I would recommend asking your IT administrator or IT organization to open a support ticket with Microsoft so that the situation can be investigated further.

Alternatively, your IT organization can contact Microsoft Support by phone using the support numbers available for their region: Contact Microsoft customer support | Microsoft Support

When calling, there may be a short introductory message of about 30 seconds. They can simply wait until the menu options are presented, then press "1" as a business email user and "1" again for technical support.
