Sending, receiving, and organizing email in Outlook on the web for business
Dear Dave,
As a forum moderator, I am not able to review your mailbox settings to diagnose and fix this directly. My role here is limited to providing general guidance you can apply from your side. A common cause is that the signature is created but not set as the default, so it doesn't appear in new messages. Please try these steps:
- In Outlook on the web, go to Settings > Account > Signatures.
- Create or select your signature, then select Save.
- Under Select default signatures, choose it for For new messages and For replies/forwards, then select Save again.
If it still doesn't save, try again in an InPrivate or Incognito browser window. This helps rule out the browser cache or extensions. If the issue continues, could you please share a few more details?
- Are you using Windows or Mac?
- What Outlook version is installed?
- Is the account Microsoft 365, Outlook.com, Gmail, or another provider?
- Does the signature disappear after closing Settings, or is it saved but not inserted into messages?
- Does the same problem occur in Outlook desktop app?
- Is this a company-managed account with a centrally applied signature?
- Is this happening only to you, or to other users in your organization as well?
A screenshot of what you see would also help a lot. Please mask any personal information such as your name, email address, or account details before posting it. Once you share these details, I will do my best to help you sort this out. Looking forward to your reply.
