A Microsoft app for iOS and Android devices that enables authentication with two-factor verification, phone sign-in, and code generation
Open Microsoft Authenticator, unlock it, and swipe down to refresh; if no request appears, check notification delivery and then follow the matching personal or work/school account recovery steps below.^1^
Check the phone and app
- Distinguish the two verification methods:
- An approval request is a push notification and requires an internet connection.
- A verification code is the rotating code displayed inside an account tile; it does not require internet access, but the account must already be configured for verification codes.^2^
- On the phone, verify:
- Authenticator notifications, sound, and vibration are enabled.
- Do Not Disturb/Quiet mode and Airplane mode are off.
- The phone has internet access; switch between Wi-Fi and mobile data.
- Date and time are set to Automatic.
- Authenticator is current. Versions more than 12 months old are unsupported.
- In Authenticator, open Settings → Notification Settings and enable Show notifications.
- Where available, select Settings → Turn off battery optimization.
- Temporarily disconnect any VPN and test again.^3^
If this is a new or replacement phone
A request may still be going to the old phone because adding Authenticator to a new device does not unregister the old one.
- If the old phone is available, open Authenticator there and approve the request.
- Otherwise, at the sign-in screen select Sign in another way, Other ways to sign in, or I can’t use my Microsoft Authenticator app right now.
- Use an already-registered method such as SMS, email, or another device.^2^
Do not remove the old Authenticator method until another sign-in method works, or you could lock yourself out.
Work or school account
After signing in with the backup method:
- Open the Security info page at
https://myaccount.microsoft.com/security-info. - Remove the Authenticator entry for the old phone.
- Select Add method → Authenticator app.
- When the QR code appears, open Authenticator on the new phone.
- Select Add account → Work or school account → Scan QR code.
- Complete the test notification.^4^
If the account was restored from backup, only its account name is restored for work or school accounts; open that account and sign in again to finish setup.^5^
Personal Microsoft account
- Open the two-step verification area at
https://account.microsoft.com/security. - Remove or turn off verification for the old device.
- In Authenticator, select Add account → Personal Microsoft account, then sign in with the account credentials to register the current phone for notifications.^2^
Menu wording can vary slightly by iOS/Android version and organizational policy.
If no alternative sign-in method works
- Work or school account: Contact the organization’s IT help desk. An appropriately privileged Microsoft Entra administrator, such as an Authentication Policy Administrator, can open Users → your account → Authentication methods → Require re-register for multifactor authentication.^6^
- Personal account: In Authenticator, use the top-level menu → Send feedback, then contact Microsoft Support for account recovery.^7^
Never provide an Authenticator code to anyone who contacts you by telephone, text, or email.
