Perform mandatory post-deployment steps

After deploying the Intelligent appointments solution, you need to perform certain mandatory steps for the solution to work.

1. Enable background operations

2. Set up online meetings through Teams

3. Perform the basic Universal Resource Scheduling (URS) configurations

4. Activate synchronizing mechanisms between Dynamics 365 and Exchange

5. Power the sample data

1. Enable background operations

In the Power Platform admin center, if the Administration mode is enabled, then you must enable background operations.

Background operations are enabled by default for non-administration mode, and they are crucial for Intelligent appointments scheduled flows to run through PowerAutomate.

To enable background operations, select Edit on the Details page of the Environments dashboard, and toggle Background operations if the Administration mode is enabled.

2. Set up online meetings through Teams

Follow these steps to set up the online meetings:

  1. Go to the Environments dashboard in Power Platform admin center and click Settings. Expand the Products area and view the Features pane. Learn more: Create and join a Teams meeting from an appointment.

  2. In the Features pane, allow users to join Teams meetings online, and then click Save.

  3. Configure your Teams preferences based on your organization's policies. Learn more: Manage meeting policies in Teams.

3. Perform the basic Universal Resource Scheduling (URS) configurations

By default, the URS application is shared for the System administrator and System customizer security rules.

  1. Enable use of the new schedule board. Learn more: Experience the new schedule board in Universal Resource Scheduling.

  2. Allow of viewing appointments on the schedule board. Learn more: Appointments included in resource scheduling.

  3. Include appointments and exchange schedules in availability checks. Learn more: Consider Outlook free/busy schedules in search resource availability API

4. Activate synchronizing mechanisms between Dynamics 365 and Exchange

Follow these steps to activate the synchronizing mechanisms between Dynamics 365 and Exchange:

  1. To ensure that the appointments get synchronized with the Exchange calendar, activate server-side synchronization for the environment. Learn more: Set up server-side synchronization of email, appointments, contacts, and tasks.

  2. If required, you can allow manual synchronization between Exchange events into Dynamics 365 by allowing advisors to track certain meetings through their Outlook deployment. This is recommended but not mandatory. Learn more: Deploy and install Dynamics 365 App for Outlook.

5. Power the sample data

Powering the sample data is a regular step in the environment setup. Because Dynamics 365 users must be set up in the tenant, advisors as resources are not part of the sample data provided. To power the solution, you need to create such advisors. In addition, resources are linked to roles or skills provided in the sample data.
