Workflows (flows) let your agent execute multi-step processes, such as approval flows, data transformations, and complex business logic. Use workflows for repeated, deterministic processes that your agent can run on demand.
Use this how-to when you want to add a workflow to an agent powered by the Customer Conversation harness. For an overview of tool types, see Available tools for agents (Customer Conversation).
Adding a workflow to an agent powered by the Customer Conversation harness is similar to adding an agent flow as a tool to an agent powered by the standard harness. To learn more, see Add an agent flow as a tool to an agent.
Prerequisites
- An existing flow. The Workflows tab lists flows that are already built and available to your environment; it doesn't offer a way to create a new flow from the Add a tool dialog. To create one, see Create a flow to use as a tool.
Add a workflow from the Build tab
Open your agent in Copilot Studio, and select the Build tab.
Select the primary agent's card, or a sub-agent's card, to open its configuration panel.
In the Tools section, select Add tool.
In the Add a tool dialog, select the Workflows tab, and then select a flow.
Select Add and configure.
In the Edit flow pane, review and update the tool's configuration:
- Details: Enter a Name and Description that help the agent decide when to use this flow. Select Open in flow designer if you need to review or edit the flow's logic. Available to shows which agents can use this flow.
- Inputs: Configure any inputs the flow expects. If the flow doesn't require any, this section shows No inputs.
- Completion: Under After running, choose what the agent does when the flow finishes (for example, send results to the primary agent to formulate a response). Under Advanced, choose which outputs are available to the agent and other tools.
Select Save.
Test the workflow in the agent
After you add the workflow, test it before you publish the agent.
Select the Preview tab.
Ask the agent a question that you would expect to trigger the workflow.
Review the agent's response to confirm the workflow was invoked as expected.
If the agent doesn't invoke the workflow when you expect it to, refine the tool name, the tool description, or the agent's instructions.
Manage the workflow after adding it
To edit, remove, or turn off a workflow tool, select it in the Tools section of the agent's configuration panel to reopen the Edit flow pane, or select Delete to remove it.
