Click Fixed assets > Common > Fixed assets > Fixed assets. Double-click a fixed asset or, on the Action Pane, click Fixed asset or Edit.
Use this form to create and manage fixed assets.

Navigating the form
The following tables provide descriptions for the controls in this form.

General |
Enter general information for the fixed asset. |
Technical information |
Enter information about the make, model, serial number, guarantee date, and maintenance dates, and also technical notes. Some dates, such as the guarantee date and maintenance dates, can be used as ranges and for sorting in inquiries and on reports. |
Tax statistics |
Enter tax statistical information to print on the Tax statistics report. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Insurance |
Enter insurance information that can be printed on the Fixed asset insurance report. |
Location |
Enter information that identifies the location of the fixed asset. Auditors might use this information for the physical verification of fixed assets. |
Report sorting |
Enter or view fields that are used as ranges and as sorting criteria in inquiries and on reports. You define the fields for selection in the Sorting form. |
Reference and notes |
Enter comments and disposal restrictions. |
Structure |
Enter the relationship of the selected fixed asset to a main fixed asset, if any. |

Change fixed asset group |
Open the Change fixed asset group form, where you can transfer the selected fixed asset to a different fixed asset group or assign a new fixed asset number. |
Delete |
Delete the selected fixed asset. You cannot delete fixed assets when depreciation book transactions exist for the fixed asset. |

Create a fixed asset. |
Copy fixed asset |
Create a fixed asset that contains much of the same information as the selected fixed asset. You can change information for the new fixed asset. The new fixed asset has zero balances and no transactions. Fixed asset lines are created automatically with new fixed asset numbers. The Copy fixed asset dialog box is not displayed if you selected one of the following:

Value models |
Open the Value models form, where you can set up and view the value models that contain the financial information about the fixed asset. Each value model tracks an independent financial aspect of the life cycle of the fixed asset, such as acquisitions, depreciations, value adjustments, and disposals. |
Depreciation books |
Open the Depreciation books form, where you can set up and view the depreciation books that contain depreciation information for the fixed asset. Each depreciation book tracks information such as depreciation status, method, acquisition date, and period frequency. |
Lend |
Open the Lending form, where you can manage the physical location and the lending of the fixed asset in the legal entity. |

Open a form where you can transfer the selected fixed asset by changing the financial dimension values of the value models. You can transfer any fixed asset that has at least one value model that has an Open status. If you select an asset that cannot be transferred, it does not appear in the Transfer fixed assets form. Open the Fixed asset transfer history form, where you can view the transfer history for this fixed asset. For more information, see Fixed assets transfer history (form). |
Fixed asset additions |
Open the Fixed asset additions form, where you can create, view, modify, or delete add-on items or improvements for the selected fixed asset. For more information, see Asset additions (form). |
All projects |
Open the All projects list page, where you can view and edit projects or subprojects that are associated with the selected fixed asset. For more information, see About fixed assets integration. |
Attachments |
View documents that are already attached to a selected record, or attach documents to the selected record. |

Fixed asset group |
Select a fixed asset group to simplify the setup of new assets. You can set up fixed asset groups that have default information, such as depreciation profiles and value models. Note Fixed asset groups are often used together with other fixed asset codes, such as asset activity codes and property groups. For example, a public works department could have a fixed asset group of Trucks, an asset activity code of Construction, and property groups of Dump Truck and Cement Mixer. For more information, see Fixed asset groups (form). |
Fixed asset number |
The fixed asset number, which can be allocated manually or automatically, depending on the setup of Fixed assets or the fixed asset group. For more information, see Set up number sequences for Fixed assets or Fixed asset records. |
Name |
Enter the name that identifies the fixed asset. This can be used for searching and filtering, as a range, and for sorting in inquiries and on reports. |
Search name |
Enter the alternative name of the fixed asset, which can be used for searching and filtering. |
Type |
Select the fixed asset type. |
Major type |
Select a top-level asset classification for reporting use. Note Major types are often used together with other fixed asset codes, such as fixed asset codes, fixed asset groups, and property groups. For example, a public works department could have a fixed asset group of Vehicles, a major type of Trucks, an asset activity code of Construction, and property groups of Dump Truck and Cement Mixer. For more information, see Major types (form). These codes are optional, and you can use them according to your business needs to track additional information about fixed assets for your organization. |

Select the type that describes the property:
This field is used only for reports or searches. |
Quantity |
Enter the quantity per unit of measure for the asset. For example, if an asset is packaged as a case, type a quantity of 1 and enter a unit of measure of Case. Note If an asset is not large enough to track on its own, you might group items together as one asset. For example, if you purchase 10 external hard drives for the Sales department, each external hard disk drive on its own is not large enough to track as an asset. However, the 10 hard drives together are an asset. In this example, type a quantity of 10 and define a unit of measure of Each. The unit cost of each external hard disk drive is 100, which gives the whole asset a value of 1,000. |
Unit of measure |
Select the unit of measure for the asset, such as dozen, case, yard, meter, block, or each. |
Unit cost |
Enter the cost for one unit. |
Asset activity code |
Select or view the asset activity code for the fixed asset to track the asset according to the activity category it is used for. Note Asset activity codes are often used together with other fixed asset codes, such as fixed asset groups and property groups. For example, a public works department could have an asset activity code of Construction, a fixed asset group of Trucks, and property groups of Dump Truck and Cement Mixer. Property group |
Select or view the property group for the fixed asset to track the asset according to the property classification it belongs to. Note Property groups are often used together with other fixed asset codes, such as fixed asset groups and asset activity codes. For example, a public works department could have an asset activity code of Construction, a fixed asset group of Trucks, and property groups of Dump Truck and Cement Mixer. Make |
Enter the name of the manufacturer of the item. |
Model |
Enter the model number of the item. |
Model year |
Enter the year in which the item was built. |
Serial number |
Enter the serial number for the fixed asset. |
Guarantee date |
Enter the date of the start of the guarantee for the fixed asset. |
Technical information 1 |
Enter technical information for the fixed asset. |
Technical information 2 |
Enter technical information for the fixed asset. |

Enter technical information for the fixed asset. |
Last maintenance |
Enter the date when the fixed asset was last maintained. |
Next maintenance |
Enter the date of the next maintenance for the fixed asset. |

Asset condition |
Select a condition for the fixed asset. The conditions were created in the Fixed asset conditions form. |
Municipality |
The municipality that the fixed asset will be reported to for tax purposes. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Taxable contribution |
The subvention for the fixed asset. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Tax-free contribution |
The tax-free subvention for the fixed asset. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Tax assessment value |
The tax assessment value of the fixed asset. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Value for tax purposes |
The value for tax purposes of the fixed asset. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Origin for return on capital |
The origin of calculation of the return on capital. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Acquisition price for tax purposes |
The acquisition value of the fixed asset for tax purposes. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Value as on 1/1/1984 |
The value of the fixed asset as of January 1, 1984. Note (NOR) This control is available only to legal entities whose primary address is in Norway. |
Insurance vendor |
Enter the insurance company that insures the fixed asset. |
Agent |
Enter the insurance agent for the fixed asset. |
Policy number |
Enter the insurance policy number for the fixed asset. |
Policy expiration date |
Enter the expiration date on the insurance policy for the fixed asset. |
Policy amount |
Enter the amount that the fixed asset is insured for. |
Insured value |
Enter the value that the fixed asset is insured for. As the value changes over time, you can manually update this field or use a periodic update to recalculate the value. Note If you use the periodic update, a value is required in this field before you perform the periodic update. For more information, see Update replacement costs and insured values (form). |
Replacement cost |
Enter the cost to replace this fixed asset. As the cost changes over time, you can manually update this field or use a periodic update to recalculate the cost. Note If you use the periodic update, a cost is required in this field before you perform the periodic update. For more information, see Update replacement costs and insured values (form). |
Last periodic value/cost update |
Enter the date that the replacement cost or insured value was last updated. You can manually enter a value or use a periodic process to update it. If this field is blank, a fixed asset still can be updated in the periodic update. For more information, see Recalculate replacement costs and insured values. |
Insurance date 1 |
Enter a date to track insurance dates. |
Insurance date 2 |
Enter a date to track insurance dates. |
Insured at fair market value |
Select this check box if the insurance for the fixed asset covers the cost to replace the item. |
Location |
Select a location for the fixed asset. The available locations are set up in the Fixed assets locations form. |
Location memo |
Enter any notes about the location of the fixed asset, such as Floor 4 – Finance Department. A location address combined with a location memo provides a customized level of detail for the location of a fixed asset. |
Room number |
Enter the room number where the fixed asset is located. |
Department |
Select or view the department or division that is responsible for keeping the fixed asset information up to date. |
Responsible |
Select the worker who is responsible for keeping the fixed asset information up to date. The available workers are set up in the Worker form. |
Bar code |
Enter the bar code digits that are assigned to the fixed asset. If the Bar code equals fixed asset number check box is selected in the Fixed assets parameters form, a bar code is assigned when you create a fixed asset record. If the check box is not selected and the bar code is set up in the fixed asset group, you must generate a periodic job to assign bar codes. |
Missing asset |
Select this check box if the asset cannot be located. For example, you can select this check box to temporarily designate a fixed asset as missing without changing the value in the Location field. You can then clear the check box if the fixed asset is later found, or change the value in the Location field if the fixed asset cannot be found. |
Physical inventory |
Enter the date of the last physical inventory update for this fixed asset. |
Contact |
Select the name of an individual who might know more information about the location of the fixed asset. |
Lease note |
If you lease the fixed asset, enter a reference number for the lease or a different note about the lease. |
Titleholder |
Enter the name of the organization that holds the title for the fixed asset. |
GIS reference number |
Enter the geographic information system (GIS) reference number, which indicates the location of the fixed asset in the GIS layer. A GIS application is a third-party application, typically used to track land and infrastructure. |
Parcel ID |
If the asset is land, enter the identifier for the parcel (the plot or tract), such as 01-6211421. |
Sort field 1 |
Enter an alternative sort field for the fixed asset. |
Sort field 2 |
Enter an alternative sort field for the fixed asset. |
Sort field 3 |
Enter an alternative sort field for the fixed asset. |
Reference |
Enter general reference information for the fixed asset. |
Comments |
Enter general comments about the fixed asset. |
Document location |
Enter the path for the document location where contracts and other documents for the fixed asset are kept. |
Disposal restrictions |
Enter special procedures, if any, for the appropriate disposal of the fixed asset. For example, fixed assets that contain hazardous materials often have disposal restrictions. |
Main fixed asset |
To display a hierarchical component structure, select the main fixed asset for this component asset. A component fixed asset can be a main asset for another component asset, which means the structure can have many levels. |
