How to: Work with Microsoft Dynamics CRM Sales Orders

If Microsoft Dynamics NAV is set up to integrate with Microsoft Dynamics CRM, then you can create sales orders in Microsoft Dynamics NAV from sales orders in Microsoft Dynamics CRM.

You can only create sales orders from incoming sales orders in Microsoft Dynamics CRM that have been submitted. When a sales order is created in Microsoft Dynamics NAV, it is populated with data from the Microsoft Dynamics CRM sales order. It is also coupled to the Microsoft Dynamics CRM sales order which enables you to navigate to the Microsoft Dynamics CRM sales order from the Microsoft Dynamics NAV. When the sales order in Microsoft Dynamics NAV is posted, the status of the coupled Microsoft Dynamics CRM sales order changes to Invoiced.

Note

After you create a sales order in Microsoft Dynamics NAV, you cannot synchronize its data with the data in the coupled Microsoft Dynamics CRM sales order. This means that you cannot update the Microsoft Dynamics NAV sales order to future changes that were made to the coupled sales order in Microsoft Dynamics CRM, and vice versa.

To create a sales order in Microsoft Dynamics NAV from a sales order in Microsoft Dynamics CRM

  1. Before you can create a sales order, you must set up the following couplings between Microsoft Dynamics CRM and Microsoft Dynamics NAV, if not already done.

    Tip

    To help you identify the account and products of a Microsoft Dynamics CRM sales order, you can the view its details from Microsoft Dynamics NAV. For more information, see To view details of a Dynamics CRM sales order.

  2. To open the list of Microsoft Dynamics CRM sales orders, do one of the following:

    • In the Search box, enter Incoming Microsoft Dynamics CRM Sales Orders, and then choose the related link.

    • In the Search box, enter Sales Orders, and then choose the related link. In the Sales Orders window, on the Navigate tab, in the Dynamics CRM group, choose Sales Order List.

    The Microsoft Dynamics CRM Sales Orders windows opens to display a list of only sales orders in Microsoft Dynamics CRM that have the Submitted status.

  3. Select the sales order that you want to create as a new sales order in Microsoft Dynamics NAV, and then on the Navigate tab, in the Dynamics NAV group, choose Create in Dynamics NAV.

    Note

    If the Coupled field is selected, a sales order in Microsoft Dynamics NAV has already been created for the Microsoft Dynamics CRM sales order.

The new sales order is created in Microsoft Dynamics NAV and coupled to the sales order in Microsoft Dynamics CRM. After it is coupled, you can open the sales order in Microsoft Dynamics CRM from the Microsoft Dynamics NAV sales order.

To view details of a Dynamics CRM sales order

  1. To open the list of Microsoft Dynamics CRM sales orders, do one of the following:

    • In the Search box, enter Incoming Microsoft Dynamics CRM Sales Orders, and then choose the related link.

    • In the Search box, enter Sales Orders, and then choose the related link. In the Sales Orders window, on the Navigate tab, in the Dynamics CRM group, choose Sales Order List.

  2. In the Sales Orders window, on the Navigate tab, in the Dynamics CRM group, choose Sales Order List.

    The Microsoft Dynamics CRM Sales Orders windows opens to display a list of all submitted sales orders in Microsoft Dynamics CRM.

  3. Select the sales order that you want to view, and then on the Home tab, in the Manage group, choose View.

    A window opens that displays information about the Microsoft Dynamics CRM sales order.

  4. To open Microsoft Dynamics CRM and view the sales order there, on the Navigate tab, in the Dynamics CRM group, choose Sales Order.

To open a coupled sales order in Microsoft Dynamics CRM

  1. Open the sales order in Microsoft Dynamics NAV.

  2. On the Navigate tab, in the Dynamics CRM group, choose Sales Order.

    Microsoft Dynamics CRM opens to display the sales order record.
