Learn About Play on Phone

After a voice mail message arrives in your Inbox, you can choose either to listen to the voice message through your computer speakers or headphones or to use the Play on Phone feature. If you work in an office cubicle, use a public computer, have a computer that isn't enabled for multimedia, or have a voice mail message that's confidential, you may not want to or may be unable to play a voice message over your computer speakers. The Play on Phone feature lets you play the voice message on your phone or on another phone at a number you specify.

When you click Play on Phone in Outlook 2010 or Outlook Web App, the Play on Phone dialog box appears so that you can configure Play on Phone.

The voice mail form options, including Play on Phone, are available when you access your voice mail using Outlook Web App or Outlook 2010. The following screenshots show the voice mail form in Outlook Web App and Outlook 2010.

Changing the Play on Phone Number

When you use the Play on Phone feature, the voice mail system calls the phone number that's listed in the box in the Play on Phone section on the Voice Mail tab. By default, the phone number is set to your extension number or SIP address, but you can change it. After you enter a phone number, you can click Play on Phone in a voice message and the voice mail system will call you so you can listen to the voice message. What else do I need to know?

  • The Play on Phone number is also used when you click Call me to play or record the selected greeting.
  • You can use different formats when you enter the phone numbers. For example, any of the following formats can be used:
    • 425-555-1234
    • (425) 555-1234
    • +1 425 555-1234
    • +1 (425) 555-1234
