A maintenance checklist is a feature on a work order that indicates the specifics of what has been done on a maintenance job. It allows the person who sets up the work order to indicate what needs to be done, along with related instructions. Then, whoever completes the work order can enter the results.

For example, a checklist can contain such lines as “check belt tension” or “check oil level.”

You can also set up maintenance checklist variables to indicate the different results for the maintenance line. For example, if you have a line for oil level, you could have the variable say, “0-3 quarts is a fail and 4 quarts or more could be a pass.”

Fill in a maintenance checklist

Follow these steps to learn how to complete a maintenance checklist:

  1. Go to Asset management > Common > Work orders > All work orders or Active work orders and select the work order.

  2. From the Action Pane, on the Work order tab, select Maintenance checklist.

    The Work order maintenance job checklist page appears, showing the checklists for all work order jobs.

    If different maintenance job types are associated with the work order jobs, then the maintenance checklists could differ for each work order job.

  3. Complete the maintenance checklist lines in the order that they appear. Depending on the line type, the different options for completing the line are:

    • Text type - Add a note explaining your results.
    • Measurement type - Enter the counter value from the equipment and also add a note, if necessary.
    • Header type - Group together the maintenance checklist lines that appear below the header. You don't have to fill in a header, but you can add a note to a line of the Header type.
  4. When you are finished with a maintenance checklist line, select the Checked check box to indicate that it has been completed. If the maintenance checklist line isn’t relevant to the work order, select the N/A check box to discard it from the work order job. If the Mandatory check box is selected on a maintenance checklist line, you must select either the Checked check box or the N/A check box.
