Post usage through a job journal

You can use job journals to post consumption of items from inventory and consumption of resources. Posting from the job journal never updates the general ledger.

You can create job journal lines in the following ways:

  • Manually

  • From job planning lines

  • By suggesting lines from time sheets

  • By calculating the remaining usage of a job

To manually enter a line in the job journal, follow these steps:

  1. Select the Search for page icon in the upper-right corner of the page, enter job journals, and then select the related link.

  2. Fill in the fields based on the descriptions in the following list:

    • Line Type - With this field, you can choose to create a job planning line together with the posting of a job ledger entry. Select one of the following options:

      • <Blank> - Leave the field cleared if you don't want the program to create a job planning line after the job journal is posted. You would use this option if the usage that you want to post is already part of the job budget.

      • Budget - When you post the job journal, a job planning line of the Budget type will be created. This option will increase the budgeted usage on the job but not the budgeted contract amount. You can use this option if your usage increases the job budget but it can't be invoiced to your bill-to customer on the job.

      • Billable - When you post the job journal, a job planning line of the Billable type will be created. This option will increase the budgeted contract amount but not the budgeted usage. You can use this option if your usage is a part of your original budget for the job though it must be charged separately to your bill-to customer on the job.

      • Both Budget and Billable - If the Allow Budget/Billable Lines option on the job card is selected, the program will create a Both Budget and Billable planning line. If the Allow Budget/Billable Lines option on a job card is cleared, the program will create a budget planning line and a separate billable planning line. The budgeted usage and the budgeted contract amount for the job will be increased by the journal line. You can use this option if your usage increases the job budget and if it must also be charged separately to your bill-to customer.

    • Posting Date - Specifies the posting date that you want to assign to each journal line.

    • Document No. - Specifies a document number for the journal line.

    • Job No. - Specifies the job number from the job that you want to post to.

    • Job Task No. - Specifies the number of the related job task.

    • Type - Select one of the following types of account to post to:

      • Item - The job usage relates to consumption of an item.

      • Resource - The job usage relates to consumption of a resource.

      • G/L account - The job usage relates to consumption of G/L expenses.

    • No. - Specifies the resource, item, or G/L account number that this entry applies to. The values that are available in this field depend on your selection in the Type field.

    • Description - Specifies the name of the resource, item, or general ledger account to which this entry applies. You can change the description.

    • Location Code - Specifies the location code for an item.

    • Bin Code - Specifies the bin where the items are picked or put away. You only need to enter a bin code for locations that have the Bin Mandatory option selected.

    • Unit of Measure Code - Specifies how each unit of the item or resource is measured, such as in pieces or hours. By default, the value in the Base Unit of Measure field on the item or resource card is inserted.

    • Quantity - Specifies the number of units of the job journal's No. field, that is, either the resource, item, or G/L account number that applies. If you later change the value in the No. field, the quantity doesn't change on the journal line.

  3. Based on the account type and number, the program populates the amount fields. When you are ready to post the job journal line, select Post/Print > Post.

  4. To check the result, open the job list, select the job to which you posted the job journal line, and then select Navigate > History > Ledger Entries.
