Export survey results

Using the survey response reports in Dynamics 365 Customer Voice is near effortless, and it provides users with an overview of all responses and access to individual survey responses that can be opened one at a time. While this approach might work for a quick review, being able to access the data once and then sort and filter based on specific responses to different questions might be required. As a result, exporting the responses can provide more flexibility for analysis.

For surveys with fewer than 5,000 responses, the system will automatically export the responses to Microsoft Excel. Select the Export all button, located in the upper-left corner of the survey response report, to start the export. A notification will display in the upper-right corner of the screen, indicating that the export process has started. When the download is complete, you can access it from the downloads folder on the machine that you’re using.

For surveys with more than 5,000 responses, you can choose to export the responses in Excel or CSV file format. Exporting to Excel would provide only the most recent 5,000 responses, while selecting CSV would include all responses.

With the option to export to CSV, you can select to send the file in an email. Providing an email address and selecting Confirm will complete the request. When the file is ready, it will be sent as an attachment to the email address that you provided.

Each response that is included in the export is on a different row in the export file. Each question in the survey is included in a different column. The following details are included in the export file:

  • ID - Assigned incremental number

  • Start time - Date/time when the survey response was started

  • Completion time - Date/time when the survey response was submitted

  • Email - Email address or anonymous if unknown

  • Name - Name of respondent or blank if unknown

  • Responses to all questions that were answered on the survey

  • Personalized data - Variables passed through into the survey response
