Manage expense report approvals by using the Dynamics 365 expense management mobile app

This article explains how to use the Dynamics 365 expense management mobile app to approve, reject, or delegate expense reports.

When an expense report is submitted for approval in Microsoft Dynamics 365 Finance, the system adheres to preset workflow configurations. These configurations trigger the generation of work items that are assigned to the designated approvers. Approvers have the authority to review the expense report and take the required actions, based on their evaluation. These actions include approval, rejection, or delegation. Users can view attachments alongside the workflow timelines, including approval actions that other users take for the designated expense report.

Approve an expense report

To approve an expense report, follow these steps.

  1. On your mobile device, open the Power Apps mobile app, and then open the Expense mobile app.
  2. Select the Approvals tab. This tab lists expense reports that are pending approval.
  3. Select an expense report. The report shows a comprehensive list of all expenses that were submitted for the report.
  4. Select Approve.
  5. Optional: Enter values in the Justification and Approval comments fields.
  6. Select the Approve button to approve the expense report.

Approve multiple expense reports

To approve multiple expense reports at the same time, follow these steps.

  1. On your mobile device, open the Power Apps mobile app, and then open the Expense mobile app.
  2. Select the Approvals tab. This tab lists expense reports that are pending approval.
  3. Optional: Select the Filter button at the top, and filter the expense reports by user, project, or amount.
  4. Select the Multi select button to select multiple expense reports.
  5. Select Approve.
  6. Optional: Enter values in the Justification and Approval comments fields.
  7. Select the Approve button to approve the selected expense reports.

Reject an expense report

To reject an expense report, follow these steps.

  3. Select an expense report. The report shows a comprehensive list of all expenses that were submitted for the report.
  4. Select Delegate.
  5. Optional: Specify a user in the Assign to field, and enter a value in the Delegation comments field.
  6. Select the Delegate button to delegate the expense report.
