Eligibility event details (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2

 Click Human resources > Periodic > Benefits > Eligibility events. In the Action Pane, in the New group, click Event. In the Event field, enter a name for the new event, and then click Create event.

Click Human resources > Common > Workers > Workers. Select one or more workers. In the Action Pane, in the Personnel actions group, click Create eligibility event. In the Event field, enter a name for the new event, and then click Create event.

Click Human resources > Common > Benefits > Benefits. Select one or more benefits. In the Action Pane, in the Personnel actions group, click Create eligibility event. In the Event field, enter a name for the new event, and then click Create event.

Use this form to create an eligibility event to determine worker eligibility for benefits. The event compares the characteristics of the selected workers and benefits against your organization’s benefit eligibility rules to determine which workers are eligible for the benefits that your organization offers.

Depending on how you open the form, some information may be entered for you when you open it.

  • To create an event for many workers and many benefits, for example, for your annual open enrollment period, open the form from the Eligibility events list page. No information is displayed when you open the Eligibility events list page, but you can quickly add all workers and all benefits.

  • To create an event for a single worker or a small number of workers, for example, when you hire a new worker, or when a worker has a qualified life event, open the form from the Workers list page. The selected workers are entered on the form for you.

  • To create a benefit for a single benefit or a small number of benefits, for example, if you add a new benefit during the year, open the form from the Benefits list page. The selected benefits are entered on the form for you.

This form is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

When you edit an eligibility event that has already been processed, if you change the Coverage start date, the Last processed date and all of the results associated with the event are deleted.

When you delete an eligibility event that has already been processed, both the event and all of the results associated with the event are deleted.

Event

Create an event that allows you to determine which workers are eligible for the selected benefit:

  • Event – Enter a name for the event.

    It is helpful to use a naming scheme that allows similar events to be sorted on the Eligibility events list page. For example, your open enrollment events might be OE plus the year, such as OE2012, OE2013, and OE2014.

  • Description – Enter a brief description of the event.

  • Event type – Select the type of event to create.

  • Coverage start date – Enter the date that eligibility for the event is based on.

  • Enrollment period start date – Enter the first day of the period when a worker can sign up for benefits.

  • Days to enroll – Enter the number of calendar days in the enrollment period.

The new event contains neither workers nor benefits until you add them. This also happens when you create an eligibility event from the Eligibility events list page.

Process

The benefit eligibility process uses the eligibility rules defined in your organization’s benefit eligibility policy. The process compares the eligibility rules for each selected benefit with the attributes of each selected worker to determine which of the benefits each worker is eligible to enroll in.

Some benefits may be set to bypass eligibility processing. The eligibility process is not used to enroll workers in those benefits. For more information, see Edut (lomake).

Show results

If you change the coverage start date for an eligibility event after the event has been processed, the results for the event are deleted.

If a worker is not actively employed on the coverage start date, no results will be generated for that worker. Similarly, if a benefit is not active on the coverage start date, or if the benefit has been set to bypass eligibility processing, no results are generated for that benefit.

If a worker has more than one employment in the organization, it is possible that the worker is eligible for a benefit under one employment and ineligible for the same benefit under a different employment. When this happens, the worker is considered eligible for the benefit.

Refresh

While the eligibility process is running, the Refresh button is the only action button that is available.

Description

It is helpful to use a naming scheme that allows similar events to be sorted on the Eligibility events list page. For example, your open enrollment events might be OE plus the year, such as OE2012, OE2013, and OE2014.

Event type

Possible event types include the following:

  • Open enrollment

  • Status change

  • Life event

  • Test

A Test event allows you to determine that the eligibility rules produce the results that you expect. When you use a Test event, you can inspect the results of the eligibility process, but you cannot use the results to enroll workers into benefits. The other event types are available for you to use when you sort events on the Eligibility events list page, but they do not affect how the event functions.

Coverage start date

The date that is used by the eligibility process to determine eligibility for benefits.

For example, your open enrollment event might have a coverage start date of January 1, 2015. For a worker to be eligible for a benefit, the benefit must be active on that date, and the worker must meet all the eligibility requirements for the benefit on that date. If a non-management worker will be promoted to a management position on February 1, 2015, they will not be eligible for management-only benefits for the open enrollment event with a coverage start date of January 1, 2015.

Enrollment period start date

The first day of the period when a worker can enroll in benefits. For open enrollment periods, this is usually a month or more before the Coverage start date. For eligibility events that result from a qualified life event, it might be the same as the Coverage start date.

Days to enroll

The number of calendar days that are in the enrollment period.

Last processed

The most recent date when this event was processed.
