Maintain payroll versions (form)

When you use payroll, you can set up information in advance that will become effective on a future date. For example, a position that will receive a pay increase next quarter or a benefit will be offered the next year.

In Microsoft Dynamics AX 2012, you can create different versions of many elements in the system. This allows you add or change data, enter the date when the change will occur, and save the information. When the date is reached, the system will automatically update the information with the current version.

Microsoft Dynamics AX 2012 stores all expired versions so that you can view the history at any time. For example, if you offered a particular dental plan three years ago, you can locate the information and review the detail in a few simple steps.

What items use versions?

There are too many items to list and the list is constantly growing. When you are in an area that offers versioning, you will notice a Maintain versions button on the Action Pane or menu bar (or something similar). Select the item you would like to create a version for, and click the button to open the versions form.

How do I create a new version?

In general, when you are in a version form, you will do the following to create a new version:

  1. Click Add.

  2. Enter the date that the new version will become effective.

    By default, the new version will be effective forever, but if you know the date that it will expire, you can enter that, too.

  3. Update the information that will change.

  4. Close the form.

Some of the forms have a lot of information that can be changed. In fact, some have so much detail that the fields are broken out into separate tabs, but the concept is the same.

Microsoft Dynamics AX 2012 offers several built-in safeguards to protect you from setting up versions incorrectly. For example, if a future version exists and you try to enter a new version that spans the same period, Microsoft Dynamics AX 2012 will provide warnings and instructions so that you know how to fix the problem.
