Positions (form)

Click Human resources > Common > Organization > Positions > Positions. On the Action Pane, click Position to create a new position, or click Edit to change an existing position.

Use this form to create and manage positions in your company.
Note
You can’t delete a position if a worker is assigned to it.

Position |

If AX 2012 R2 is installed and the Personnel actions configuration key is selected, you have to enter a personnel action number and select a personnel action type to create a position. |
Copy position |
Make one or more copies of the position. For more information, see Key tasks: Existing worker positions. This button isn’t available if AX 2012 R2 is installed and the Personnel actions configuration key is selected. |
Hire |
Create a new worker record and assign a worker to the position. |
Transfer worker |
Open the Transfer worker form, where you can transfer a worker to a different position. |
Job |
Open the Job form, where you can view information about the job that is associated with the position. |
View actions for the selected position |
Open the Position action inquiry form, where you can view the position actions for the selected position. This is what you can do in the inquiry form:
Tip Expand the related information section of the FactBox to view links to the same information. This button is available only if AX 2012 R2 is installed and the Personnel actions configuration key is selected. |
Maintain versions |
Open the Maintain position versions form, where you can maintain effective date information for the position. |
Refresh |
Redisplay the data in the form. |

Export the information. |
Attachments |
Open the Document handling of Position form, where you can attach a document to the record or view a list of documents that are attached to the record. |
General

Description |

Position |
The identification number of the position to change. The position ID is automatically generated by the system, if it is specified by number sequences in Human resources. You can set up number sequences in the Number sequence area of the Human resources shared parameters form. For more information about number sequences, see Number sequences (list page). |

Enter a description of the position. |
Job |
Enter or select the job ID that is associated with the position. |
Department |
Select the department that the position is a part of. |
Reports to position |
Select the position that a person in the position reports to. For example, select the person who manages the position or the person who approves absences for the worker who is assigned to the position. |
Title |
Select a title to associate with the current position, such as Manager, Secretary, or Consultant. If the job that you selected in the Job field already has a title specified, that job title is displayed. |
Position type |
Select a position type for the position. Tip If you’re using cumulative update 6 for Microsoft Dynamics AX 2012 or later, move the pointer over the position type to see whether the position is full-time or part-time. |
Full-time equivalent |
Enter an employment factor between 0 and 1. A value of 1 indicates a full-time job. For part-time employment, enter a number that is less than 1. For example, a part-time job might be .5. If the job that you selected in the Job field already has a full-time equivalent value assigned to it, that value is displayed. |
Compensation region |
The physical location or group of locations where the worker who is assigned to this position works. For more information about this field, see Compensation regions (form). Note This field is available only if the Compensation configuration key is selected in the Configuration form. |
Available for assignment |
The date and time when the position can be assigned to a worker. The default setting for new positions is located in the Human resources shared parameters form Use this date to place an active position on hold without deleting it so that a worker can’t be assigned to it. For example, enter a future date if a temporary hiring freeze is implemented or if a worker is on temporary leave so that the worker assignment can’t be changed. |
Position duration

Create a new duration for the position. The position duration is the length of time that the position will be in your company. Many workers can be assigned to a position throughout the duration of a position. However, only one worker can be assigned to the position at a time. |
Retire |
Retire the position. When you retire a position, any current worker assignment for the position is ended. To reactivate a position, create a new duration for the position. |

Enter the date when the position becomes active. You can place an active position on hold by changing the Available for assignment value on the General tab. The position still exists in the system, but workers can’t be assigned to it until a future date. |

To avoid this issue, you can change the effective date for the position in the Maintain position versions form to be the same as the Assignment start date. |
Assignment end |
Select the last day that a worker can work in the position. |
Reason code |
Enter a reason code, such as the reason that an assignment in a position is ended. Note This field is available only if the Human resource I configuration key is selected in the Configuration form. |

Reports to position |
Select the position that a worker in this position reports to for the selected hierarchy. For example, if a worker who is assigned to this position is on more than one team, you can indicate who they report to on the other team. |

The controls in this table are available only if the Payroll - USA configuration key is selected.

Pay cycle |
The code that groups together positions and workers for payroll processing. You select the pay cycle when you generate pay statements. |
Work cycle |
The code that defines a group of work periods. Certain earnings, such as the overtime premiums that are required by the Fair Labor Standards Act (FLSA), are based on work periods and not pay periods. This control isn’t available prior to Microsoft Dynamics AX 2012 R3 Cumulative Update 8. For more information, see Work cycle and work period tasks. |
Paid by |
The legal entity that pays the worker. You must select a legal entity in this field before you can select a schedule for the position. |
Pay period overtime hours |
The average number of overtime hours that is expected of this position each pay period. If no overtime is expected, enter 0 (zero). |
Annual regular hours |
The number of regularly paid hours that the position is expected to have each year. This is used to determine salary adjustments. For example, you might enter 2080 for a regular salaried worker, which equals 40 hours each week. If a worker has eight hours of sick time, the system calculates the difference of 32 hours. |
Insurance benefit |
The general liability insurance benefit for the position. |
Organizational officer |
Indicates whether an officer holds the position. This is required by certain states for tax purposes. |
Earnings
|
The fields in this group interact in various ways to determine how earnings are generated and shown on earnings statements. Earnings can be generated from the position salary, from the schedule that is associated with the position, or from a combination of both.
Important When a worker is on a paid leave, you must assign a schedule to the worker’s position to incorporate the leave settings. This is required even if you generate earnings by salary for that position, and not from a schedule. If an earning code is assigned to the leave type in the leave record, earnings lines that are generated for the position during the leave show a daily breakout. If no earning code is assigned to the leave type, the leave represents unpaid leave. No earnings lines are generated during the leave period and the salary amount is adjusted, although you can manually change the earnings statement to add earnings statement lines. For more information about schedules, see Work schedule and leave tasks. |
Workers' compensation

Click Add to add a new workers’ compensation entry to the grid. Select the state where the position is available for workers’ compensation, and then select the appropriate compensation code to use to determine the cost of the compensation policy. The compensation codes that are displayed are limited to those that are available in the state that is selected. Note To remove a compensation code that is assigned to the position, select the compensation row in the grid and then select Remove. This just removes the compensation code from the selected position. |
Labor Union

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Default financial dimensions |
The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group. Note The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group. Note The dimension values from the earning code and the position are added to the earning line and can be changed. When a value for the same dimension is specified for both the earning code and the position, the dimension value for the earning code is used. |
Where the %1 dimension is used |
The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group. Note The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group. |
Annual gross compensation |
The estimated annual gross income of the position. This is used for budget forecasting only. If the budget purpose type is based on a percentage, the annual gross compensation amount is multiplied by the percentage to determine the net amount. |
Currency |
The currency that is assigned to the grid values. The default value is from the selected legal entity. |
Budget defaults |
This information is used to identify the expenses for the position so that the amounts can be used in budget forecasts. For more information, see Key tasks: Forecast positions. |
