Configure reporting years

This article explains how to create and manage reporting years in Microsoft Sustainability Manager. When you create a reporting year, you name your reporting year, define the starting date, and apply a template to determine the number of periods to create. After you create it, the reporting year will be available for selection on the insight pages.

Reporting periods have a default status of Open. To provide enhanced audit control, you can close a period to prevent changes to data.

Keep the following considerations in mind about reporting years:

  • Reporting years provide enhanced capabilities to support tighter control of data to better support internal and external audits.

  • Reporting years provide support for more than just monthly reporting.

  • Reporting year definition is optional.

  • If you don't define a reporting year, the system automatically assumes a 12-month reporting year using the Start day and Start month you configured in General settings.

  • You can't open or close a reporting period if you haven't defined a reporting year.

Create a reporting year

  1. In the main navigation pane, select Settings > Company profile > Reporting years.

  2. Select Create reporting year.

  3. In the Name field, enter the name of the reporting year. This name appears on insight pages in Microsoft Sustainability Manager.

  4. In the Start date field, enter the first day of your reporting year.

  5. In the Year template field, select either Annual, Semiannual, Quarter, Month, or 4-Week Period (13 per year). The Year template is used to create the periods from the start date. For example, selecting Month creates 12 monthly periods from the start date. Selecting Quarter creates four equal periods from the start date.

  6. Select Save. The reporting year generates with the first period starting on the Start date and the last period ending one year from the Start date.

Edit a reporting year name

  1. In the main navigation pane, select Settings > Company profile > Reporting years.

  2. Select the reporting year to edit.

  3. From Manage reporting year, select Edit. You can now change the name of the reporting year.

Edit a reporting period

  1. In the main navigation pane, select Settings > Company profile > Reporting years.

  2. Select the reporting year to edit one or more periods.

  3. Select the ellipses (...) for the reporting period to edit.

  4. Select Edit. You can now change the Name, Status, Start date, and End date.

  5. Select Save to commit your changes or Cancel to close without saving your changes.

Note

The system doesn't allow reporting years or periods to overlap. If you try to create a year where the period dates would overlap with another reporting year, the system will prevent the new reporting year from being created. If you select a reporting period and attempt to change the Start date or End date to a date that overlaps with another period, the system will prevent this edit from being saved.

Edit a reporting period status

  1. In the main navigation pane, select Settings > Company profile > Reporting years.

  2. Select the reporting year to edit one or more periods.

  3. Select the Status dropdown, and then select either Open or Closed. A period in an open state allows new records to be created and existing records to be edited. When a period is closed, the system prevents any calculations, data ingestion, data creation, modification, or deletion of records in that closed period. The system uses the following dates to determine whether a record falls within an Open or Closed period.

    If you discover missing data in a closed period, you need to change the status back to Open and add the missing data.

Home page and insight pages

The Executive dashboard and insight pages allow you to select one-to-many reporting years. Data displays in the visuals following the period definition of Month, Quarter, Semiannual, Annual, 4-Week, or a custom defined template.
