Create a cash advance
A cash advance is submitted for potential expenses that are charged to the employee before their travel to cover estimated travel costs. Cash advances allow companies to remain on budget and reduce the financial burden for workers who might not be able to incur later reimbursement expenses.
For example, an accounting clerk has been approved to attend an accounting conference in Miami, Florida. They cannot pay the upfront 1900 US dollars (USD) of estimated costs for the trip. The accounting clerk submits a cash advance request, where their supervisor can see which costs they plan to incur and then determine if they are within budget for conference expenses.
To create a cash advance, follow these steps:
Go to Expense management > My expenses > Cash advances.
Select New.
The Requested date will populate the current date.
In the Location field, enter the location where the expenses will be incurred.
In the Purpose field, enter the purpose of the business trip.
In the Note field, enter necessary notes according to your company policies.
In the Amount field, enter the amount of money that you are requesting.
Select Save. Some companies might have a workflow for cash advances, but they are not systematically required.
