How to set up my business profile properly

I recently purchased a business subscription for Microsoft 356. I have a domain that I have tried to connect so that I can use this instead of the "....ommicrosoft.com" address that you have to make. When buying the subscription, I made this mandatory onmicrosoft.com address. I will not be using this address, and have tried to connect our domain. This have been semi-successful. At one point I had to add another user to get any further, as far as what I could understand. I couldnt get any further unless I bought another license for this user, and now I have paid for two licenses, even though I am only one user.... Also I am struggeling to set up everything correctly. I need my own personal email from our domain to be the main user, but at the moment it seems to be the onmicrosoft.com user that is still the main user. I am very confused.

Hi @Elise Lauvdal,

When you first purchase Microsoft 365 Business, the system is required to create a tenant and assign a default domain in the format xxx.onmicrosoft.com. This domain is created automatically during sign‑up and is linked to the very first user, who is typically the admin account. That onmicrosoft.com domain acts as the default routing domain for the tenant and is expected behavior at the beginning.

Once the initial tenant setup is completed successfully, the next step is to add and verify your own custom domain. This is done afterwards, following Microsoft’s standard process, outlined here: Add a custom domain to Microsoft 365 - Microsoft 365 admin | Microsoft Learn

After your custom domain is verified, you can then change your admin account’s username and email address from the onmicrosoft.com address to your own domain address. Microsoft has a step‑by‑step guide for this as well: Change a user name and email address - Microsoft 365 admin | Microsoft Learn

Regarding the extra license, many customers run into a situation during setup where the wizard suggests creating an additional user to proceed. This can make it look like a second license is mandatory, even when you’re the only user. If you’re able to sign in to the Microsoft 365 admin center now, you can submit a support ticket to request cancellation of the unused license and ask about a possible refund. A support engineer can review the case and help you remove the extra license if it qualifies. User's imageUser's image Tips: You can switch off the Support Assistant as shown in the screenshot, then type a few short characters into the search box and select Get Help. After that, wait for the Contact Support button to appear and click it. At the final step, be sure to clearly describe your request in the description fields so the support engineers can quickly understand your issue and assist you more effectively.

Just to set expectations, this is a user‑to‑user community forum, so I don’t have access to backend tools or permissions related to billing or tenantlevel changes. That said, I hope the information I’ve shared is helpful and points you toward the right team, which is usually the most effective way to get things resolved within this scope. If you have additional questions, you may also consider submitting separate support tickets for individual topics. Each ticket will be routed and transferred to the appropriate specialized team, helping ensure you receive the most accurate and timely assistance possible.

Thank you so much for your understanding.

To make the business setup work the way it is intended, there are three key pieces to fix: the domain, the primary sign‑in/email address, and the extra license.

    1. Connect and use the custom domain
    • In Microsoft 365 for business, a custom domain (like yourcompany.com) can be added so users do not have to use the yourcompany.onmicrosoft.com addresses.
    • If this was not fully completed during sign‑up, go to the Microsoft 365 admin center and run the domain setup/guided setup to finish:
      • Add the domain name.
      • Add the required DNS records at the domain host so Microsoft 365 can verify and connect the domain.
    • Once the domain is connected, new user IDs and email addresses can use that domain instead of onmicrosoft.com.
    1. Make the custom‑domain address the main user sign‑in/email
    • The account created at purchase time (the …onmicrosoft.com account) is automatically the technical administrator of the organization.
    • After the custom domain is added and verified, that admin account can be given a username on the custom domain (for example, change ******@yourcompany.onmicrosoft.com to ******@yourcompany.com) or a new user can be created on the custom domain and given admin roles.
    • The recommended pattern for a small business is:
      • Add the custom domain.
      • Create or rename the primary user so that the user ID is ******@yourdomain.com.
      • Use that address as both the sign‑in ID and the email address.
    • If users were created before the domain was connected, their usernames may still be …onmicrosoft.com. In that case, update the usernames to use the custom domain once the domain is connected.
    1. Extra user and extra license
    • For each user account that is added to the subscription, a unique user ID is created and a license can be assigned.
    • If an extra user was created only to get through setup, that user does not need a license if it will not be used. In the admin center, remove the license from that user so only one license is in use.
    • If the extra user account is not needed at all, it can be deleted after the domain and primary user are correctly configured.
    1. General setup order that avoids confusion The supported guidance for a new small‑business tenant is:
    2. Purchase the business subscription.
    3. Add a custom domain name.
    4. Set up Outlook email on that domain.
    5. Add users (with usernames on the custom domain) and assign licenses.
    6. Secure the organization (for example, multifactor authentication).

In this scenario, the main corrective actions are:

    • Complete or verify the custom domain connection.
    • Change the primary admin’s sign‑in name to the custom‑domain email that should be used day‑to‑day.
    • Remove the unneeded license from the extra user (or delete that user if not required).
