Hi, I'm John! I will help you with this.

Can you check the sender’s email address? Does it look like an official Microsoft domain (e.g. *@microsoft.com)?

If you’d like, please let me know whether you can sign in to OneDrive normally and what the sender’s email domain is (you can mask part of it).

Microsoft does send legitimate OneDrive storage warning emails, but there are also phishing emails that look very convincing.

To stay safe, here’s how to tell the difference:

    • Don’t click any links in the email for now.
    • Check the sender’s email address carefully. Official Microsoft emails usually end with @microsoft.com (not random domains or misspellings).
    • Sign in to OneDrive directly to https://onedrive.live.com/managestorage in your browser (not link through the email). If there’s a real issue, you’ll see the warning after you sign in.
    • In Outlook, look under Settings > Storage or OneDrive storage info to confirm if your account is over quota or inactive.

IMPORTANT: If the email is asking for urgent action, threatening immediate deletion, or asking you to “verify” your account, that’s a red flag and likely a scam.

I really hope this information is helpful! Let me know if you have any further questions or concerns.

    Regards,

    John J.D.

The warning emails are triggered when either Microsoft cloud storage (OneDrive + shared services) or Outlook.com email storage is over quota, and they continue until the account is back under all applicable limits.

Key points from how Microsoft storage works:

    1. What “storage exceeded” actually means
    • If Microsoft cloud storage (OneDrive + shared cloud storage) is over quota:
      • OneDrive becomes read‑only: no new uploads/edits/syncs.
      • Outlook.com cannot send or receive email, even if the mailbox itself is not full.
      • Microsoft Teams cannot send/receive messages with attachments.
      • After 6 months over quota, OneDrive and all files in it may be deleted and are non‑recoverable.
    • If only email storage is over quota:
      • Outlook.com cannot send or receive email.
      • Incoming mail is bounced back to senders until storage is reduced.
    1. Why emails may still say “over limit” when usage looks low
    • The warning is based on the actual storage that Microsoft sees for the account, not just what is visible in one place.
    • Common causes in similar cases:
      • A different Microsoft account (old or secondary email) is over quota, and the warning is being sent to that address.
      • OneDrive or unified cloud storage is over quota even though the Outlook.com mailbox storage looks fine.
      • A previously used profile or device is still linked to an account that is over its 5 GB free cloud storage limit.
    1. How to verify which storage is over quota
    • For Outlook.com email storage:
      • Open Outlook.com, go to Settings and search for Storage to see mailbox usage and per‑folder breakdown.
    • For Microsoft unified/cloud storage:
      • If the message says “Microsoft Unified Storage is full,” this specifically means the cloud storage quota (OneDrive/unified storage) is exceeded, not necessarily the mailbox.
    1. How to stop the warnings and avoid data loss To get back under quota and stop the “exceeded storage” and “data may be deleted” warnings:
    • If cloud (Microsoft/OneDrive) storage is over quota:
      1. Either buy more storage or
      2. Delete content until total usage is below the limit:
    • If Outlook.com email storage is over quota:
      • In Outlook.com Settings > Storage, permanently delete items (or items older than 3, 6, or 12 months) from large folders to free space.
    • If already a Microsoft 365 subscriber:
      • Consumer mailboxes are capped at 100 GB. If that limit is reached, storage must be freed; if more than 100 GB is needed, consider Enterprise plans.
    1. If the numbers still do not match
    • Check whether the warning emails are being sent to an older or secondary email address tied to a different Microsoft account that is actually over quota (this has been the cause in similar cases).
    • Ensure that all Microsoft accounts in use (old and new) are checked for OneDrive/unified storage and Outlook.com storage usage.

Once the correct account is brought back under its Microsoft storage and email storage quotas, the warning emails and risk of data deletion stop.
