Managing sound and video settings during Teams meetings and calls for optimal communication

If the Teams test call plays the initial test message but does not play back your recorded voice, it typically indicates one of the following:
- Teams is using the wrong microphone device.
- Teams does not have permission to access the microphone.
- The playback audio is being sent to a different speaker or audio output device.
Please try the following troubleshooting steps:
1/ Test with Teams on the web
- Sign in to Teams using a supported web browser and run a test call. This helps determine whether the issue is specific to the desktop app.
2/ Verify Teams audio device settings
- Open Microsoft Teams.
- Select Settings and more (...) > Settings > Devices.
- Under Audio settings:
- Set Speaker to the device you want to hear audio from.
- Set Microphone to the microphone you are speaking into.
- Select Make a test call and record a short message when prompted.
The test call should record your voice and play it back so you can confirm both the microphone and speaker are functioning correctly.
3/ Check microphone activity
While in Settings > Devices, speak into your microphone and observe the microphone level indicator.
- If the indicator moves, Teams is detecting your microphone, and the issue may be related to the audio output device.
- If the indicator does not move, Teams is not receiving microphone input.
4/ Check microphone permissions in Windows
- Open Settings.
- Go to Privacy & Security > Microphone.
- Make sure the following options are enabled:
- Let apps access your microphone
- Microsoft Teams (work or school)
- Let desktop apps access your microphone
- Completely close and reopen Teams after making any changes.
5/ Check headset and mute controls
If you are using a headset:
- Verify the microphone boom is not muted or folded into the mute position.
- Check that any inline mute button is turned off.
- Ensure the headset is firmly connected.
- For Bluetooth devices, confirm that Teams is using the headset's microphone and not only the headphone audio profile.
Some headsets have physical mute switches that can block microphone input even when Teams shows the microphone as unmuted.
6/ Update and restart Teams
Make sure that:
- Microsoft Teams is updated to the latest version.
- Windows and audio device drivers are fully up to date.
Then:
- Right-click the Teams icon in the system tray.
- Select Close window
- Reopen Teams and perform another test call.
7/ Contact your IT admin
