Expand/ Collapse all groups in MS Outlook (Windows 11) functionality not available

Thanks for raising this. You're absolutely right that the ability to expand or collapse all groups in Outlook is a key feature for managing a busy inbox efficiently. 

As of now, the New Outlook for Windows unfortunately does not support a one-click Expand/Collapse All Groups function.  

Microsoft has added features like: 

• Collapse/Expand Date Headers 
• Jump To Date navigation 

However, these do not replace full group collapsing, and users still need to manually collapse each section.

This helps Microsoft understand the real-world value of bringing this feature into the New Outlook. Many features have been developed or improved based on user feedback, so your voice truly matters. 

You can add your voice or track updates here: Outlook · Community . The Product Team is in-charge of the feedback site, and they are constantly checking the comments and feedback from our customer. Many features have been developed or improved based on users' comment, so you can try to contact users with similar issue to upvote your feature request.    

You can also check Microsoft 365 Roadmap for updating features in the future. I will also forward your feedback to the appropriate team for further consideration. We genuinely appreciate your feedback and share your goal of making New Outlook better and more user-friendly.         

Please note that Q&A forum moderators do not have access to backend systems or the ability to change app behavior directly. Our role is to assist based on available documentation and guidance from Microsoft based on our knowledge.   

In the meantime, if you're using Classic Outlook, you can still collapse all groups by: 

• Right-clicking a group header and selecting Collapse All Groups (if available), or 
• Using the keyboard shortcut Ctrl + - (on the numeric keypad) to collapse all, and Ctrl + + to expand all. 

The Classic Outlook will continue to be supported until at least 2029: New Outlook for Windows: A Guide to Product Availability | Microsoft Community Hub.  

This shows that the New Outlook is still evolving, and the Product Team is actively considering which features from Classic Outlook to bring over. That’s why your suggestion is so valuable, it helps shape a more user-friendly experience for everyone.

The current version of the new Outlook for Windows does not have the functionality to expand or collapse all groups in the inbox at once. This feature has been noted as missing, and while there have been discussions about it, there is no confirmed timeline for when it will be implemented. Users have expressed similar concerns regarding the lack of this basic functionality, which is essential for managing their inbox effectively. Until this feature is added, users may need to continue using the classic Outlook version for this capability.
