Expand/ Collapse all groups in MS Outlook (Windows 11) functionality not available

Our firm recently upgraded to Windows 11. I am refusing to use the new Outlook purely because there is NO option to Expand/ collapse ALL Groups. Luckily we do have this option as they retained the old Outlook.

I was very surprised to see that someone had raised the issue back in 2024 when the response was that it is not available as YET. When will it be available - because this is a feature that makes managing my Inbox much easier. Hence I do not see the point of moving across to the "new" Outlook if it means I am moving backwards and not forwards in terms of technology. There are amazing other features - but it doesn't help me if the basics are not there and an expand/ collapse functionality to this user - albeit an ID-10-T user - is a basic.

Expanding or collapsing one group at a time just doesn't cut it.

    Thanks for raising this. You're absolutely right that the ability to expand or collapse all groups in Outlook is a key feature for managing a busy inbox efficiently. 

    As of now, the New Outlook for Windows unfortunately does not support a one-click Expand/Collapse All Groups function.  

    Microsoft has added features like: 

    • Collapse/Expand Date Headers 
    • Jump To Date navigation 

    However, these do not replace full group collapsing, and users still need to manually collapse each section. 

    Microsoft has acknowledged this gap and previously indicated they’re considering it, but no confirmed release date has been provided yet. You can follow or contribute to the discussion here:  Return Organize by Categories and Collapse/Expand All by Sorting method · Community

    In the meantime, if you're using Classic Outlook, you can still collapse all groups by: 

    • Right-clicking a group header and selecting Collapse All Groups (if available), or 
    • Using the keyboard shortcut Ctrl + - (on the numeric keypad) to collapse all, and Ctrl + + to expand all. 

    The Classic Outlook will continue to be supported until at least 2029: New Outlook for Windows: A Guide to Product Availability | Microsoft Community Hub.
