How to use templates?

Hello! In previous versions, we had an option under "Message" while drafting an email to use Templates. I used them every day and it saved me from copy/pasting from a document for specific structures of format and wording. Recently, the option disappeared and I cannot find it, is there a glitch that made it disappear or something I can do to use it again? Please help!

Thank you.

    Hi @Mack Isgro,

    Welcome to Microsoft Q&A forum.

Thank you for contacting us regarding the issue with the My Templates feature in Classic Outlook for Windows.

After reviewing the situation, I've found this is part of an active Microsoft service incident (EX1183224) that Microsoft has confirmed. Part of the infrastructure handling mailbox connectivity is currently underperforming, which may cause some users to experience difficulties accessing the My Templates option in Exchange Online.

Note: Access is limited to Microsoft 365 Global Administrator. Please contact your IT admin if you don’t have access.

The next update is scheduled for November 22, 2025. Service availability is gradually returning to normal. In the meantime, you might consider using Signatures as a temporary workaround. Please note that as a forum moderator, my testing environment is limited, and I don’t have access to Microsoft’s internal systems to investigate the root cause.

For now, no action is needed on your side. Once the systems are fully restored, Outlook should return to normal without requiring any changes to your settings or devices. We appreciate your patience as the engineering teams work to deliver the best possible experience for all users.

Additionally, some users have resolved similar issues by repairing their Office installation via the Control Panel. If the problem persists, this could be worth trying.

To use templates in Dynamics 365 Customer Insights - Journeys, you can follow these steps:

    1. Choose a Template: When creating a new message, page, or form, the first step is to select a template. There are various templates available, including professionally designed ones that come with sample content and images, as well as blank templates.
    2. Customize Templates: You can create custom templates to match your organization's needs. To do this, you can save an existing email or customer journey as a template by selecting Save as template while the email or journey is open. Alternatively, you can create templates from scratch in the relevant templates area.
    3. Using Email Templates: If you have previously composed an email that you want to reuse, you can convert it into an email template. This can be done by selecting the downward-facing caret (v) next to Insert Template and then selecting Convert to an email template from the drop-down list.
    4. Accessing Templates: To view all the email templates you've created, go to the Templates section on the left-hand pane and select Email templates. This will display a list of all your templates, which you can edit and update as needed.

If the option to use templates has disappeared, it may be due to updates or changes in the software. Ensure that you are using the latest version of the application and check if the templates feature is still available in the current interface. If issues persist, consider reaching out to your IT support for further assistance.
