TO DO app: can't join list

Shared a list with someone within my organization. When they click to join, they get this error:

"Can't join list. It looks like this list isn't available. Try contacting the person who invited you".

I checked the "manage access" tab and I do not have the setting toggled that disabled new members from joining the list. We are both within the same organization and have the Microsoft 365 version, not the consumer version. Why is this happening?

FYI: I successfully joined our shared list created on 1/4. Same list, same invite link. I hope it's working for everyone else too!

    Hi @Iman Khademagha

Thank you for posting your question in the Microsoft Q&A forum.

Based on your description, your colleague selects the invitation link to join your Microsoft To Do list and receives the message: “Can’t join list. It looks like this list isn’t available. Try contacting the person who invited you.” I appreciate that you already reviewed Manage access and confirmed both accounts belong to the same organization.

This can occur when the invitation is opened with the wrong sign‑in context, when prerequisites for Microsoft To Do are not met, or when the sharing link references a list that is no longer valid. Microsoft To Do supports sharing only between personal accounts or between work or school accounts in the same organization; it also requires To Do to be enabled and an Exchange Online mailbox for both participants.

Below are some alternative steps designed to address your situation effectively:

1/ Begin by ensuring you are using the correct work account context

    • Sign out of To Do and any browsers, sign back in only with your work account, then open the invitation from Microsoft To Do on the web and select Join.
    • This ensures you join from the right organization account.

For your reference: Why can't I join a shared list? - Microsoft Support

2/ Proceed by providing and utilizing a refreshed invitation link

    • In To Do, open the list → Share → Manage access → Create invitation link, then share the new link and join from the web as above.
    • Older links can be stale, and deleted lists show the same message.

3/ Then, confirm all prerequisites in the admin center

4/ After that, check how the list was created and shared

    • If the list was created in a personal Microsoft account and shared to a work account, recreate the list in your work account and share it internally.
    • Cross‑sharing from consumer to work accounts was retired and joining is blocked.

5/ As your account is managed by your organization, please contact your IT administrator to check your permission and policies. For a more efficient resolution, we recommend using your administrator account or contacting your IT administrator to submit a support request directly to Microsoft Support team.

I look forward to continuing the conversation. Best wishes to you and your family for a wonderful and prosperous New Year.
