Hello,

I created a personal Microsoft account with my work email and it's causing issues with my work Teams account. I only want to keep mu work Microsoft account but they both have the same email addresses.

Thank you,

Mona

    Hi @Mona Liza Sison,

Thank you for reaching out to Microsoft Q&A Forum.

You're encountering a Microsoft 365 account‑overlap scenario and you accidentally created a personal Microsoft account (Live ID) using your work email address.

Microsoft treats these as two completely separate identities:

    • Personal account > managed at Microsoft 365 account.
    • Work account > managed in your Microsoft 365 tenant (Entra ID) by your organization's IT admin

Since the personal account is owned and managed by the user, the required action must be taken on their side. The most efficient solution currently is to create a new email alias and designate it as the primary alias in place for the work account.

You can create a new alias by following the steps below:

Step 1: Sign into your Microsoft 365 account.

Step 2: Go to Your info in the left side menu.

    User's image

Step 3: Scroll down to Account info and click Edit account info.User's image

Step 4: Under Account alias, click Add email.

    User's image

Step 5: From there, you can create a new alias, or add an existing email address as a Microsoft account alias. Type your new address and click Add alias.

Your alias has now been added to their Microsoft account, allowing you to send and receive emails with your new email address.

Now if you want to remove your old email address from this account, you’ll first need to select their new alias as your primary address. To do so, follow these simple instructions:

Step 6: Click the Make primary link next to your brand new alias. Then select Yes to confirm.

    User's image

Step 7: To delete your old alias, click the Remove link next to it. Then press Remove.

    User's image

And that’s it. You've successfully changed your email address using the alias feature. You can now use your updated email address without it being interrupted by your work account.

Additionally, please perform these steps on users' device:

    1. Sign out of all Office apps
    2. Go to Settings > Accounts > Access work or school Disconnect any personal or duplicate entries User's image
    3. Restart the device
    4. Sign back in only with the work account in Microsoft 365 apps

This clears cached identity conflicts and prevents re‑prompting.

I hope this explanation helps clarify what’s happening and outlines the available steps to move forward.

The two accounts cannot be merged, but the duplicate personal account that uses the work email can be removed by changing its sign-in email so that only the work account keeps that address.

    Use this approach:

    1. Confirm there are two accounts
      • When signing in, if the prompt "Which account do you want to use?" appears with:
        • Work or school account
        • Personal account then both exist with the same email address.
    2. Rename the personal Microsoft account so it no longer uses the work email
      • Sign in to the personal Microsoft account using the work email when prompted to choose Personal account.
      • Go to the Manage how you sign in section of the Microsoft account.
      • Add a different email address as an alias (for example, a personal Outlook.com, Hotmail.com, or other email address), or use an existing alias.
      • After adding it, select Make primary on that new alias so it becomes the main sign-in address.
      • This detaches the work email from the personal account while keeping access to any data tied to that personal account.
    3. (Optional) Remove the work email from the personal account
      • Once the new alias is the primary alias, remove the work email address from the list of aliases on the personal account if desired.
      • After this, the work email will only belong to the work or school account, and the "Which account do you want to use?" prompt should stop appearing for that address.
    4. If the personal account is no longer needed at all
      • After moving the sign-in to a different email alias and confirming nothing important is stored under that personal account, follow the standard Microsoft account closure process for that personal account (using its new alias as the sign-in).

If the work account was created by the organization using the same email domain as the personal account, and issues persist, contact the organization’s IT department and ask them to review and, if necessary, remove any unintended organizational association of that email, as suggested in the guidance for accounts with the same email address.
