Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Microsoft 365 Basic includes 100 GB of Microsoft cloud storage (OneDrive + Outlook.com), but it does not include the desktop Office apps such as Word or Excel. That is why Word is not working as expected after switching to Basic, even though there is still plenty of storage available.
Two separate things are happening:
- Storage status
- With Microsoft 365 Basic, the account gets 100 GB of cloud storage.
- Storage usage and quota can be checked in the Microsoft storage area of the account dashboard.
- If only ~9 GB of 100 GB is used, the account is not out of storage. If any “out of storage” message appears in Word, it is likely related to OneDrive being full on another account, or to a different issue (for example, the file is on a OneDrive that is actually full).
- To verify, go to Manage storage in OneDrive or the Microsoft storage section of the account dashboard and confirm the quota and used space.
- Why Word won’t open or edit documents
- Microsoft 365 Basic is essentially a OneDrive + Outlook.com storage plan. It provides:
- 100 GB of mailbox storage for Outlook.com.
- 100 GB of cloud storage for OneDrive.
- It does not license the desktop versions of Word, Excel, or PowerPoint.
- If there was a previous subscription (for example, Microsoft 365 Personal or Family) that included desktop apps and that subscription ended, the installed Office apps will show activation or subscription errors and may open documents read-only or not allow editing/creating new documents.
- This behavior matches the scenario described where users move to Microsoft 365 Basic and then cannot create or edit documents in desktop Word.
- Microsoft 365 Basic is essentially a OneDrive + Outlook.com storage plan. It provides:
To regain full desktop Word functionality, a plan that includes the Office desktop apps is required, such as Microsoft 365 Personal or Microsoft 365 Family. Microsoft 365 Basic can be kept for storage, or upgraded to one of those plans which include both storage and desktop apps.
If only web access is needed, documents can be opened and edited using the free web versions of Word and other Office apps in a browser with the Microsoft 365 Basic subscription.
