Below are the steps to get everything set up:
1/ Confirm Bookings is available and enabled for your account
- Sign in to Microsoft 365 and open the App launcher.
- Look for “Bookings” in the app list. If you don’t see it, select “All apps” and check again.
- If Bookings is still missing, ask your Microsoft 365 admin to verify two items:
- Your license includes Microsoft Bookings
- Bookings is allowed for users in the Microsoft 365 admin settings and not blocked by an org policy

2/ Set up your booking page and copy your scheduling link
- Open Bookings from the App launcher (or go to the Bookings web app if your org provides it).
- Choose the appropriate experience:
- “Bookings with me” for a personal scheduling page tied to your mailbox and availability
- A “Bookings calendar” if your team uses a shared booking calendar for services and staff
- Configure your meeting type, availability, time zone, buffer time, and any required questions for attendees.
- Select “Share” (or “Publish”) and copy your booking page link.
- Paste the link into a private browser window to confirm it opens correctly before sending it to recipients.

3/ Add the booking link to your Outlook email in a clean, reusable way
- In Outlook, create a new email and type a friendly call to action such as “Schedule time with me here.”
- Highlight that text, then insert the hyperlink and paste your Bookings link.
- Outlook on the web and new Outlook: use Insert, then Link
- Classic Outlook for Windows: use Insert, then Link, or press Ctrl + K
- For repeated use, save it for one-click access:
- Add the linked text to your email signature
- Or save an email template and reuse it whenever you need to share your scheduling link
In the event that the checkbox appears greyed out, please do not worry. You can simply copy your booking page link directly from the Bookings app and paste it manually into your signature as a hyperlink. This works just as effectively.
