    Scenario #2: Subscription cancellation and billing stopping.

    If you only need to stop recurring charges while keeping the tenant active, the focus remains on the billing lifecycle: 

    • Cancellation: Navigate to Billing > Your products, select your active subscriptions, and choose Cancel subscription. If immediate cancellation is unavailable, you must turn off recurring billing.

    To fully close a Microsoft 365 business account when an organization is shutting down, complete these steps in order. A Global Administrator must perform them.

    1. Back up all data
    • Before making changes, back up email, OneDrive, SharePoint, and any other important data for all users.

    • Sign in as a Global Administrator.
    • Delete every user account except the Global Administrator that will perform the closure.

    • For MOSA billing accounts, open each disabled subscription and choose Delete subscription, then confirm.
    • For MCA billing accounts, disabled subscriptions are deleted automatically at the end of the term; they cannot be deleted manually.
    1. Disable multi-factor authentication (MFA) for all but the active Global Administrator
    • In the Microsoft 365 admin center, go to Users → Active users.
    • Open Multi-factor authentication.
    • Disable MFA for all accounts except the Global Administrator currently being used.
    1. Delete the Microsoft Entra (Azure AD) tenant
    • After all users (except the Global Administrator), subscriptions, and dependencies are removed, delete the tenant in Microsoft Entra ID following the documented “Delete a Microsoft Entra tenant” procedure.
    • When the tenant is deleted, the Microsoft business account is considered closed and deleted.
