Hi Sarishma Reddy Athmakuri

Welcome to Microsoft Q&a Forum!

Have a good day and I hope you're doing well!

Thank you for sharing more details. To prevent the information from being too broad (where the chatbot gives "out of box" responses instead of focusing only on the 4 Word files from SharePoint), you should disable the "Allow the AI to use its own general knowledge" option. When disabled, the AI will be restricted to using your specific knowledge base, helping it retrieve and focus on the key points without drawing from general knowledge.

Steps to disable it:

1. Open Copilot Studio and select your agent (chatbot).

2. Go to the Overview or Settings section (where the option is located, as shown in the attached image).

3. Find "Allow the AI to use its own general knowledge" and toggle it to Disabled (turn off the switch as in the image).

4. Save the changes, publish the copilot, and test it right away:

  • Ask a question related to the 4 files (it should respond accurately and focused).
  • Ask an unrelated question (it should be limited, e.g., "I can only answer based on the provided documents").

For more details on this option (such as its benefits and how it works), check this section in the Microsoft documentation: Allow the agent to use general knowledge

Additionally, if you're still having issues with SharePoint integration (e.g., the files not being retrieved properly), this guide on using generative answers with SharePoint and OneDrive might help. It explains how to set up and optimize your source for focused responses: Use SharePoint in a generative answers node
