Do not purchase storage or use links or phone numbers in the email; sign in independently to the relevant Microsoft service and compare its reported usage with the alert.
1. Identify which storage system generated the alert
The wording usually indicates one of these separate systems:
- “OneDrive,” “Microsoft storage,” “your files,” or Outlook.com: Usually an individual Microsoft account.
- “Dataverse,” “environment,” “database,” “file capacity,” “log capacity,” or Power Platform: Usually your organization’s tenant-wide Power Platform capacity.
- Work or school OneDrive: Could mean either your individual quota or your organization’s pooled storage limit.^1^
Check the full recipient address shown in the email. That is normally the first account to test. If the address can sign in as both a personal account and a work or school account, inspect each separately; those account types cannot be merged.^2^
2. Verify the usage without using the email
If this appears to concern personal OneDrive
- Type
onedrive.com directly into the browser.
- Sign in using the address that received the message.
- Open Settings → OneDrive settings → More settings → Storage metrics, or select the storage indicator shown in OneDrive.
- Review large files and the Recycle Bin, which also consumes storage.
Personal Microsoft cloud storage can include OneDrive files and photos, Recycle Bin items, Outlook.com attachments and inline images, Teams attachments and recordings, Loop content, and Designer images. Consequently, the usage can be higher than the visible files in the main OneDrive folder.^3^
Other possible explanations include a shared folder, an expired or failed subscription renewal, or an expired storage promotion.^1^
If this concerns work or school OneDrive
- Sign in to OneDrive on the web with the work account.
- Select Storage used in the lower-left corner.
- Review the largest files and Recycle Bin.
- If the reported limit appears incorrect, contact the organization’s Microsoft 365 administrator.
While a work or school OneDrive is over quota, existing files remain available but read-only, and new uploads, edits, and synchronization stop.^1^
A Power Platform administrator, Dynamics 365 administrator, or tenant administrator should:
- Open the Power Platform admin center directly.
- Select Licensing → Dataverse.
- Review Usage per storage type for database, file, and log consumption.
- Check the top-consuming environment.
- Select Details for that environment to see actual usage and the tables contributing most to file, database, or log growth.
Dataverse file capacity is organization-level capacity pooled across applicable environments, so the alert may not belong to one employee’s account. The report shows entitlement, total consumption, reserved capacity, and any pay-as-you-go usage.^4^
Is it legitimate?
Storage warnings are a legitimate operational concern, but the email alone does not prove that your account is over capacity. Personal OneDrive communications can genuinely come from @mail.onedrive.com, @notificationmail.microsoft.com, or @infomail.microsoft.com; Microsoft still recommends signing in directly instead of following an email link.^2^
If the direct storage page shows normal usage, do not buy anything from the email. Treat mismatched domains, pressure to act immediately, unexpected attachments, or links to unrelated domains as phishing indicators.^5^
Requesting a call or support discussion
- Personal account: Open Microsoft’s customer-support page, choose Get help, describe the storage warning, and use the offered chat or contact option. Available contact methods depend on the product and region.^6^
- Business account: Ask your Microsoft 365 administrator to open Microsoft 365 admin center → Help & Support, enter the issue, and request contact. If the alert is for Dataverse, include screenshots of Licensing → Dataverse, the affected environment, and the three usage figures.
- Do not call a telephone number printed in an unexpected storage-warning email.
