Request for quotation reply (form)

Click Procurement and sourcing > Common > Requests for quotations > Request for quotation replies. Open a request for quotation reply (RFQ) from the Request for quotation replies list page to view a specific reply.

Click Procurement and sourcing > Common > Requests for quotations > All requests for quotations. Open an RFQ that has a status of Sent, Received, or Rejected. On the Action Pane of the Request for quotation details form, click Enter reply to create a new RFQ reply.
Use this form to register replies from vendors to an RFQ, and to accept, reject, or return the replies.
Enter information from the vendor replies into the fields in the RFQ reply form. If you open the form from an RFQ, information from the RFQ is automatically copied to the RFQ reply. You can use this information as a starting point for entering vendor-specific information.

Navigating the form
The following tables provide descriptions for the controls in this form.

Enter information about the requester, a reason code, sales tax, and contact information from the RFQ reply. |

Enter information about the products in the RFQ lines. |

Select the address for delivery of the products. |
Price/discount |
Enter price and discount information. |
Financial dimensions |
View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures. |

Totals |
Open the Request for quotation totals (form), where you can view the total for a selected field in the lines of an RFQ, such as the total quantity of products. |
Manage charges |
Open the Charges transactions (form), where you can manage charges, such as freight. |
Request for quotation journals |
Open the Request for quotation journal (form), where you can view the postings for the RFQ associated with the selected reply. |
Compare replies |
Open the Compare request for quotation replies (form), where you can select replies from vendors to compare. |
Request for quotation |
Open the Request for quotation details (form), where you can view the RFQ that is related to the selected reply. |
Purchase agreement |
Open the Purchase agreements (form), where you can view the purchase agreement, if applicable, that is associated with the selected reply. |
Purchase order |
Open the Purchase order (form), where you can view the purchase order that was created from the accepted RFQ reply line. |
Create price agreement journal |
Open the Price/discount agreement journals (form), where you can create a price agreement journal. |
Purchase price |
Open the Price (purch.) form, where you can view product prices. |
Line discount |
Open the Line disc. (purch.) form, where you can view the discounts, if any, for a line. |
Multiline discount |
Open the Multiline disc. (purch.) form, where you can view multiline discounts. |
Total discount |
Open the Total disc. (purch.) form, where you can view the discounts, if any, for the selected RFQ reply line. |

Case ID |
The identification number of the RFQ reply. |
Buyer group |
The buyer group assigned to the requester. |
Requester |
The person who requested the items in the RFQ. |
Language |
The language that is used in the RFQ reply. |
Sales tax group |
The sales tax group code assigned to the line. For more information, see Sales tax groups (form). |
Tax exempt number |
The tax exempt number assigned to the vendor. |
Prices include sales tax |
If selected, this check box indicates that prices include sales taxes. |
Contact |
The name of the contact person for the vendor. |
Sites service page |
The name of the website where the RFQ was displayed, if applicable. Vendors who have access can reply to the RFQ in the website. |
Link to RFQ reply page |
The URL of the website where vendors with access to the site can respond to the RFQ. |
E-mail template |
The name of the e-mail notification template that was used to send the RFQ to vendors. |
Line type |
Indicates whether the product was requested from a category or is an inventory item:

Procurement category |
The procurement category for a category line. |
Configuration |
The physical characteristics of the item. |
Batch number |
The item batch number. The batch number is automatically assigned. |
Delivery date |
The date by which the vendor can deliver the product. |
Expiration date |
The date by which vendors must reply to the RFQ. |
Status |
The status of the RFQ reply header reflects the statuses of RFQ reply lines. For example, you receive an RFQ reply from a vendor for an RFQ that has two lines. You reject the reply for the first line and accept the reply for the second line. The lowest status on the RFQ and RFQ reply header is Rejected and the highest is Accepted. Unit |
The unit of measure for the product. |
Unit price |
The price per unit. |
Discount |
The line discount per unit. |
Discount percent |
The line discount amount as a percentage of the price amount. |
Net amount |
The total amount for the line, after subtracting any discounts. |
Currency, on the Quotation FastTab |
The currency selected by the vendor in the RFQ reply. This is the currency that appears in the vendor invoice if you purchase any products in the RFQ reply from this vendor. |
Terms of payment |
The terms of payment that apply, if the RFQ leads to a purchase from the selected vendor. |
Vendor reference |
The product reference assigned by the vendor. |
Requested delivery date |
The date by which you want vendors to deliver the products in the RFQ. |
Effective date |
The date that the RFQ reply or reply line is valid from. |
Expiration date |
The date that the RFQ reply or reply line is valid to. |
Address |
View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format. |
Price group |
The price group, if any, from a trade agreement with the vendor. For more information, see About creating and using price groups. |
Line discount group |
The line discount group, if any, from a trade agreement with the vendor. For more information, see Line discount group field. |
Multiline disc. group |
The multiline discount group, if any, from a trade agreement with the vendor. |
Total discount group |
The total discount for a purchase from a vendor. |
Charges group |
The charges, such as freight, applicable to purchases from a vendor. For more information, see Charges groups (form). |
Payment specification |
The payment method preferred by a vendor. |
Payment schedule |
The payment plan if you make multiple payments to the vendor for a purchase. For more information, see Payment schedules (form). |
Cash discount |
The terms under which a cash discount applies. For more information, see Cash discounts (form). |
Method of payment |
The form of payment. For more information, see Methods of payment - vendors (form). |
Template ID |
Select the default template that specifies the financial dimensions to use for distributing transaction amounts. The information in the template will be used to display default dimension values. You can set up a template in the Financial dimension default templates form. |
Cost center-System |
The cost center for the employee who is requesting the item. For more information, see Financial dimensions (form). |
Department-System |
The department dimension for recording the cost of the product, if purchased. For more information, see Financial dimensions (form). |
Expense purpose-System |
The financial accounts for recording the cost of the product, if purchased. For more information, see Financial dimensions (form). |
Line details
The following tables provide descriptions for the controls in the Line details view. To close the view and return to the RFQ reply, on the Action Pane, click Line details.

The multiline discount is granted when one or more lines added together meet a discount requirement set by the vendor. |
Multiline discount percentage |
The multiline discount percentage, calculated as a percentage per price unit. |
Lead time |
Enter the number of days in the period from placing a purchase order with the vendor until receiving the products. |
Working days |
If this check box is selected, use working days from the company calendar instead of all calendar days when calculating the lead time. |
Item sales tax group, on the Other FastTab |
The item sales tax group code assigned to the line. For more information, see Item sales tax groups (form). |
Number |
The identification number of the planned purchase order that generated the RFQ line. |
Master plan |
The identification number of the master plan that generated the RFQ line. |
Fixed asset number |
The identification of the fixed asset, if applicable. |
Value model |
The value model that is related to the fixed asset. For more information about value models, see About derived value models. |
Transaction type |
The type of fixed asset transaction that will be created, if the RFQ leads to a purchase of a fixed asset. |
Project ID, on the Project FastTab |
The identification number of the project that is related to the line. |
Activity number |
The identification number of the project activity that is related to the line. |
Project category |
The project category that the product is attached to. |
Line property |
The project line property for the transaction. |
Transaction ID |
The identification number of the transaction in the project. The transaction number is automatically assigned. |
Sales currency |
The currency in which the project is invoiced. |
Sales price |
The sales price per unit, calculated in the sales currency for the project. |
