(FRA) Vendor invoice payment hold history (form) (Public sector)

Click Accounts payable > Common > Vendors > All vendors. Select a vendor. On the Action Pane, on the Vendor tab, click Transactions. On the Payment tab, click History.

Click Procurement and sourcing > Common > Vendors > All vendors. Select a vendor. On the Action Pane, on the Vendor tab, click Transactions. On the Payment tab, click History.

Click Accounts payable > Common > Vendor invoices > Pending vendor invoices. Select a vendor invoice. On the Action Pane, on the Vendor invoice tab, in the Maintain group, click Edit. On the Action Pane, click Header view. On the Payment FastTab, click History.

Click Accounts payable > Common > Purchase orders > All purchase orders. Select a purchase order. On the Action Pane, on the Invoice tab, in the Settle group, click Open transactions. On the Payment tab, click History.

Click Procurement and sourcing > Common > Purchase orders > All purchase orders. Select a purchase order. On the Action Pane, on the Invoice tab, in the Settle group, click Open transactions. On the Payment tab, click History.

Click Accounts payable > Inquiries > Journals > Invoice journal. On the Overview tab, click History.

Use this form to view any payment holds for a vendor or for a vendor invoice. Details include the date a hold was placed, the date a hold was released, the reason for the hold, the user who placed the hold, and the user who released the hold. The form also includes the new due date that was calculated for the invoice when the hold was released.

Notitie

This form is available only if all three of the following conditions are met:

  • The Public Sector configuration key is selected.

  • The French regulatory configuration subkey is selected.

  • The Use French public sector accounting rules check box in the Budget parameters form is selected.

In versions of Microsoft Dynamics AX 2012 prior to cumulative update 7, only the Public Sector configuration key must be selected, but the primary address of the legal entity must be in France.

Example

A vendor invoice has a payment due date of 6/15/2014. Because of a dispute with the vendor about the correct amount owed, an accountant places a payment hold on 6/12/2014. After settling the dispute, the accountant releases the hold on 6/14/2014. The Calculated due date for the payment is calculated in the following way:

  1. Select the larger of the following number of days:

    • The remaining days for the hold: This is the hold release date minus the hold start date. The hold release date of 6/14/2014 minus the hold start date of 6/12/2014 is equal to 2 days.

    • The minimum number of days of a hold for the user who placed the hold: According to the payment hold rules that are defined for this organization, an accountant can place a payment on hold for a minimum of 7 days.

  2. Add the larger number to the hold release date of 6/14/2014. The calculated due date is 6/21/2014.

The date when the due date for payment of the vendor invoice was placed on hold.

Hold release date

The date when the vendor invoice payment hold was released.

Reason code

The reason that the vendor invoice payment was placed on hold.

Reason codes are created in the Reasons form. For more information, see Redenen (formulier).

Description

A brief description of the reason code.

This is the Default comment that was entered when the reason code was created in the Reasons form. For more information, see Redenen (formulier).

Hold placed by

The name of the user who placed the hold.

User role

The role of the user who placed the hold, such as accountant, accounting manager, or controller.

Notitie

Rules for payment holds are set up for user roles in the Terms of payment form. For each user role that is set up, the rules specify the minimum number of days for a hold and the maximum number of times that a hold can be placed. For more information, see (FRA) Set up vendor terms of payment (Public sector).

Hold released by

The name of the user who released the hold.

Calculated due date

The due date that is calculated when a hold is released.

This date is calculated in the following way:

  1. Select the larger of the following number of days:

    • The remaining days for the hold. This is the hold release date minus the hold start date.

    • The minimum number of days of a hold for the user who placed the hold.

  2. Add the larger number of days to the Hold release date.
