With the goal to give organizations the ability to measure and improve the habits of individuals and teams, Microsoft Viva Insights analyzes individual work habits to surface intelligent insights in the flow of everyday work within Outlook, Teams, and Microsoft 365.

Recommendations and programs that Viva Insights provides enable positive change to deliver the business outcomes you're driving while maintaining a culture of wellbeing.

  • With aggregate insights, managers and leaders can identify opportunities to improve engagement and effectiveness across the organization.

  • With advanced tools and capabilities, analysts can run a deep analysis to help address targeted challenges most important to the organization.

  • Managers can establish norms such as no-meeting days, regular 1:1s, and recognizing team accomplishments.

  • With personal insights, every employee can maintain positive habits such as reserving time for focused work, taking regular breaks, and following meeting best practices.

There are four chief insights that Viva Insights provides: Personal insights, Organization trends, Teamwork habits, and Advanced insights.

Personal insights (Employees)

Surface privacy-protected insights for all employees in the flow of their work to help them avoid distractions and improve productivity. Support work-life balance with virtual commute, focus tools, and Headspace activities

Teamwork habits (Managers and leaders)

Generate insights that help develop action plans. Propel data insights into best business practices with tools such as no-meeting day plans, focus time plans, 1:1 scheduling.

Gain insights at a glance into long workdays, employee wellbeing, meeting effectiveness, and manager connection.

Employee wellbeing

New research shows that unplugging is more necessary than ever. The lines between work and home are often blurred, but Viva Insights technology can help to both follow and encourage best practices for wellbeing. In Microsoft Viva Insights, two elements make up the Employee wellbeing framework: balance and capacity.

To achieve balance, insights provided include Protect time outside of working hours and Help employees disconnect. Managers can see the percentage of employees who are working after hours for more than three hours each week and the average weekly time spent collaborating after hours. Employees can also be encouraged to schedule quiet time to mute notifications after hours, schedule delivery of emails using the Outlook Insights add-in, and wrap up the day with virtual commute.

Meeting effectiveness

Distractions, low participation, and long meeting periods can drain morale. In Viva Insights, offerings of best practices and AI insights to curtail common meeting problems are within the three categories of Meeting effectiveness framework: before the meeting, during the meeting, and after the meeting.

Manager connection

A lack of manager check-ins can contribute to employee disengagement and attrition. Viva Insights uses the two elements of coaching and empowerment to make up the Manager connection framework, providing insights about the occurrences of 1-on-1 meetings between managers and employees and promoting employee autonomy with managerial support.

  • Coaching - The Manager connection page provides a percentage of how many employees meet with their manager for less than one hour a month and a visual insight that shows the distribution of monthly 1:1 time with managers.

  • Empowerment - The Manager connection page provides a percentage of how many employees have their managers attend a majority of their meetings and a visual insight that shows the distribution of manager-coaching relationships.

Manager coaching recommendations and action plans

With packed schedules, it's challenging to maintain ongoing connections with our team members and make sure everyone's supported to bring their best. Viva Insights empowers you to take action with the following best practices to cultivate dynamic, thriving teams:

  • Schedule regular 1:1 time to stay connected with team members.

  • View and consider changes for quiet hours impact and team meeting habits

  • To create healthy team norms, you and your team might consider using shared meeting plans. You can find and start plans - for no-meeting days and shared focus - in the Teamwork habits page.

    • No-meeting days are a shared recurring time that everyone in the plan can use to focus without interruptions.

    • Through a shared focus plan, your team can book daily, uninterrupted focus time to get your work done. A shared focus plan helps your team build a shared productivity habit.

Advanced insights (Leaders)

Partner with Viva Insights analysts to generate deeper insights into detailed workplace trends.

Power BI reports

The Analysis page in Microsoft Viva Insights includes a number of predefined Power BI templates that analysts can use to visually analyze workplace collaboration patterns and trends.

A template pre-populates a custom query and selects the applicable Power BI charts to show the query results for the following reports:
