Click Human resources > Common > Workers > Workers. Select a worker. On the Action Pane, click Edit.
Use this form to maintain information for a worker. A worker can be a contractor or an employee within your legal entity or organization.

New case |
Open the New case form, where you can create a case for the worker. For more information about cases, see Case management. |

Open the Image form, where you can add an image file to the worker record. |
Hire new worker |
Enter preliminary information about a new worker before creating the new worker record. After you enter the preliminary information, click Hire new worker to return to the Worker form, where the preliminary information is displayed in the new worker record. |
Transfer worker |
Open the Transfer worker form, where you can transfer a worker to a different job and position assignment. |
Terminate |
Enter preliminary information about the termination event. After you enter the preliminary information, click Terminate worker to end the employment of the worker. Note If the worker has more than one employment in your organization, you will end all of the worker’s employments when you click Terminate worker. To end only one employment for a worker, but allow the worker to remain employed in a different legal entity, click End in the Employment area of this form, and then enter the required information. To remove a worker from one position, but allow the worker to remain assigned to other positions, you should end the position assignment instead of terminating the employment of the worker. For more information, see Offboard workers. |

Worker position assignments |
Open the Position assignments form, where you can maintain the list of positions that the worker is assigned to. |
Add assignment |
Create a new position assignment for the worker. You must enter the necessary information and then click Create position assignment to create the new position assignment for the worker. |
Edit assignment |
Modify a position assignment for the worker. You must select the position assignment to modify, enter the necessary information, and then click Update worker assignment to modify the position assignment for the worker. |
End assignment |
End a position assignment for the worker. You must select the position assignment to end, enter the necessary information, and then click Retire worker assignment to end the position assignment. |
Employment history |
Open the Employment history form, where you can view the worker’s history of employment with your legal entity or organization. |
Maintain versions |
Open the Worker date manager form, where you view or update the past, current, or future changes to the worker’s personal details and title. |

Time registration actions
Some of the following buttons are available only if the worker is an active time registration worker. For more information, see Enable workers to register time and attendance.

Enable the worker as a time registration worker. Time registration workers can make registrations for Time and attendance and in Manufacturing execution. This button is available only when the legal entity that the worker is employed in is selected. |

Profile calendar |
Select a work time profile for the worker to be valid for one day or for a specific period of time. |
Temporary group assignment |
Schedule a temporary connection to another calculation group or approval group on a specific date. |
Flex balance |
View a list of the worker’s flextime records. Make corrections of the flex balance. Note This button is available only if the worker is an active time registration worker and if the Flex allowed check box is selected for the worker. |
Flex |
Recalculate the worker’s flex balance. Note This button is available only if the worker is an active time registration worker and if the Flex allowed check box is selected for the worker. |

Assign categories |
Define validation connections for the selected worker. The connections that you set up make selected categories available for the worker or include the worker in worker/category groups. These validation assignments control access limitations that are applied when workers register entries in hour, cost, and inventory journals, or when they enter timesheets. |
Assign projects |
Define validation connections for the selected worker. The connections that you set up make selected projects available for the worker or include the worker in worker/project groups. First name |
Displays the first name of the worker. You can change the worker’s name in the Name details form, which you can access from the Worker form (Worker summary FastTab > click Change name). |

Displays the middle name of the worker. You can change the worker’s name in the Name details form, which you can access from the Worker form (Worker summary FastTab > click Change name). |
Last name |

Enter a search name for the worker. You can use this search name to find the worker’s record within queries and list pages. |

Known as |
Enter an additional name that the worker also is known as. For example, if a worker’s first name is Christine but she prefers to be called Christy, enter “Christy” in this field. |
Professional title |
Enter a professional title for the worker. |

Phonetic first |
Enter the phonetic spelling of the worker’s first name. |

The address of the building that the worker works in. |

The name of the address book where the identification information for the worker is stored. Click the pencil icon next to this field to change which address book stores this information. |

Enter the date when the worker started military service, if applicable. |
Military service end date |
Enter the date when the worker’s military service ended, if applicable. |
Disabled veteran |
Select this check box if the worker is a disabled veteran. |
Expatriate ruling |
Select this check box if the worker is an expatriate. |
Expatriate ruling valid from |
Enter the earliest date when the worker was ruled to be an expatriate. Note This field is available only if you selected the Expatriate ruling check box. |

Rate basis |
The amount field should be appropriate for the rate basis. The rate basis is determined by the earning code setup and cannot be changed. For more information, see Earning codes (form). |
Frequency |
The frequency in which the earning will be paid. Frequencies are provided by the system and cannot be changed. For more information, see Payroll calculation frequencies tasks. |

Adjusted start date |
Enter an adjusted start date for the worker. Consider the following example. Josh Bailey was an employee at your company for the past 10 years. Two months ago, he ended his employment with your company. Today, you have convinced Josh to come back to work and he accepted your offer with one condition. He wants to retain the 10 years of seniority that he previously had. To accommodate Josh’s request, after you hire him, you can change the Worker's adjusted start date field on his worker record to be the date that he was first hired 10 years ago. |
Last date worked |
Enter the worker’s last day of work. This date may be different than the employment end date. |
Termination reason |
If the worker’s employment was terminated, select a reason for the termination. The information in this field is maintained in the following form: Human Resources reason codes (form). |

Employer unit |
The termination notice unit for the employer. Combine the information from this field and the Employer quantity field to determine how many weeks or months in advance the employer must notify the worker before terminating the worker’s employment. |

Enter the monetary amount that the worker will receive for hourly vacation pay. |

Enter the number of vacation days that the worker is allowed in a year. |
Total vacation hours |
Enter the number of hours of vacation that the worker is allowed in a year. |

Enter the number of vacation hours that the worker can carry over from a previous year. |

Standard profile |
Select the work time profile to be used if the worker has not clocked in for the day, and no other profile is defined for the worker in the Profile calendar form. |
Profile group |
Select the group that the worker is associated with. This group is used in profile searches. All time registration workers are associated with a profile group. Various work time profiles are linked to a profile group, which makes it possible to select a profile based on the worker’s clock-in time. |
New bundle |
Select this check box to stop a worker’s active jobs when the worker starts a new job. If the check box is cleared, new jobs are bundled together with previously started jobs. |
Category |
Select the cost category to be used as the standard category when the worker makes registrations on projects. |
Use timecard |
Select this check box if the worker uses the electronic timecard for registration. |
Configuration |
Select a registration form configuration for the worker. When the worker logs on to a registration terminal, the selected registration form is displayed. |
Supervisor options |
Select this check box for supervisors who manage a team of workers. If this check box is selected, the supervisor has access to additional tasks in Manufacturing execution. Note This field is relevant only for supervisors or team managers. |
Default calculation group |
If the worker is a supervisor, select the calculation group that will be displayed in the Attendance form. (Click Human resources > Inquiries > Time and attendance > Attendance.) Note This field is relevant only for supervisors or team managers. |
Pay agreement |
Select the pay agreement that will be used for calculating pay for the worker if no pay agreement is selected on the work time profile that the worker uses. The profile is selected, based on the time when the worker makes a clock-in registration. |
Seniority date |
Enter the date from when the worker’s seniority is calculated when generating pay. |
Period code |
Select the pay period used for the worker to calculate pay. |
Flex allowed |
Select this check box if the worker can register flextime. If the worker is eligible for flextime, select a flex group in the Flex group ID field. |
Flex group ID |
Select the flex group to be used for flextime registration. |
Opening flex balance |
The opening balance for flexible hours. On the Action Pane, in the Flex group, click Opening flex balance to set or change the opening balance. |
Flex date |
The date for the latest update of the flex balance. |

Absence date |
Enter the earliest date when the worker can submit an absence registration or absence request. |
Work days |
The number of days in the week that are considered work days for the worker. The value in this field is calculated based on the values in the Working time field group. Each day field in the Working time field group that you enter a value in is counted as one work day. If the value for a day field is zero, it is not counted as a work day. |
Working time |
For each day of the week, enter the number of work hours the worker is expected to work. The total hours per work week is calculated for you in the Total working hours field. |
